- Provide a consistent presence at the front desk.
- Answer phones and greet visitors; provide assistance, and route caller/visitor to appropriate staff members.
- Send faxes, scan documents, make copies, file, and run errands, as needed.
- Manage incoming and outgoing correspondence including emails, mail, and packages.
- Order and pick up office supplies, as needed.
- Maintain inventory and asset tracking.
- Light office cleaning, as needed.
- Schedule and coordinate meetings, as needed.
- Maintain project contact list for the company and the organizational chart.
- Send out emails, enter responses, and process candidate recommendations and employee awards.
- Prepare monthly expense reports with cataloguing receipts, uploading documentation, and correctly assigning projects.
- Assist with preparing and editing documents, including invoicing reports, presentations, and spreadsheets.
- Assist with planning company meetings, events, and special projects.
- Monitor daily employee Attendance Hotline and update management calendar.
- Provide administrative support to corporate staff and managers, as requested.
- Other duties may be assigned.
- One to three years in an administrative role supporting complex teams, programs, or projects in a professional environment.
- Proficiency with Microsoft Outlook, Excel, Word, PowerPoint, and Teams. Proficiency with Zoom.
