Job Overview

We are looking for a reliable, detail\-oriented Admin Assistant to join our team at a busy property maintenance company. This role supports day\-to\-day office functions and ensures efficient coordination between our technicians, vendors, and tenants. The ideal candidate is highly organized, has excellent communication skills, and thrives in a fast\-paced environment.

Responsibilities:

  • Enter and track employee hours worked on various projects for payroll and billing
  • Communicate with vendors and suppliers to order appliances and materials and manage delivery timelines
  • Maintain accurate time and material records for invoicing purposes
  • Review, approve, and track vendor invoices and company credit card charges
  • Answer phones and respond to email requests for maintenance work orders
  • Provide excellent customer service to tenants, property caretakers and vendors
  • Order office and shop supplies
  • Assist with general office administrative tasks as needed
  • Maintain excel spreadsheets for current building projects
  • Qualifications:

  • Strong data entry and recordkeeping skills with a high level of accuracy
  • Excellent verbal and written communication skills
  • Ability to multitask, prioritize work, and meet deadlines
  • Proficient in Microsoft Office (Excel, Outlook, Word) and general office software
  • Strong customer service mindset and professional demeanor
