Job Overview
We are looking for a reliable, detail\-oriented Admin Assistant to join our team at a busy property maintenance company. This role supports day\-to\-day office functions and ensures efficient coordination between our technicians, vendors, and tenants. The ideal candidate is highly organized, has excellent communication skills, and thrives in a fast\-paced environment.
Responsibilities:
- Enter and track employee hours worked on various projects for payroll and billing
- Communicate with vendors and suppliers to order appliances and materials and manage delivery timelines
- Maintain accurate time and material records for invoicing purposes
- Review, approve, and track vendor invoices and company credit card charges
- Answer phones and respond to email requests for maintenance work orders
- Provide excellent customer service to tenants, property caretakers and vendors
- Order office and shop supplies
- Assist with general office administrative tasks as needed
- Maintain excel spreadsheets for current building projects
- Strong data entry and recordkeeping skills with a high level of accuracy
- Excellent verbal and written communication skills
- Ability to multitask, prioritize work, and meet deadlines
- Proficient in Microsoft Office (Excel, Outlook, Word) and general office software
