HVAC in LA is a fast\-growing residential and light commercial HVAC company focused on high\-quality installations, efficient operations, and strong customer communication. We’re looking for a proactive and detail\-oriented Project / Operations Coordinator to help manage day\-to\-day operations and keep projects running smoothly.

Position Overview

This role blends office coordination, project management, and light field support. You’ll be responsible for keeping jobs organized from start to finish—handling communication, tracking materials, coordinating logistics, and ensuring nothing falls through the cracks.

This is primarily a remote role, with occasional on\-site responsibilities for materials, inspections, and job coordination.

*Key Responsibilities:*

Operations \& Project Coordination

  • Manage job workflows from lead → install → completion
  • Create and maintain job lists, work orders, and task tracking
  • Ensure all project details are documented and up to date
  • Customer \& Lead Management

  • Respond to incoming leads (calls, texts, email)
  • Coordinate scheduling and follow\-ups
  • Maintain clear and professional communication with clients
  • CRM \& Data Management

  • Add and update clients in CRM
  • Ensure all job data, notes, and records are accurate and complete
  • Maintain clean and structured job files
  • Invoicing \& Admin

  • Create and send invoices
  • Track and follow up on payments
  • Project Organization

  • Organize and upload project photos, files, and documents
  • Maintain organized digital job folders and records
  • Field \& Logistics Responsibilities (Hybrid Component)

    * Inventory \& Materials

  • Keep materials and inventory organized daily
  • Monitor stock and ensure commonly used items are topped off
  • Identify shortages before they impact jobs
  • * Procurement \& Deliveries

  • Pick up materials and equipment as needed
  • Coordinate deliveries to jobsites
  • Arrange on\-demand deliveries (Uber Courier, Instacart, etc.)
  • * Jobsite Coordination

  • Occasionally visit jobsites to support operations
  • Shadow projects to understand workflow and improve coordination
  • * Inspections \& Compliance

  • Meet with inspectors for final inspections when needed
  • Help ensure jobs are ready for inspection
  • Qualifications

  • Strong organizational and multitasking skills
  • Excellent communication (written and verbal)
  • Detail\-oriented with strong follow\-through
  • Comfortable managing multiple jobs at once
  • Tech\-savvy (CRM systems, Google Drive, etc.)
  • Valid driver’s license \& reliable transportation (for hybrid tasks)

  • Experience in HVAC, construction, or home services
  • Familiarity with Zoho CRM, QuickBooks, or ServiceTitan
  • Experience with scheduling, dispatch, or logistics coordination
  • Pay: $22\.00 \- $30\.00 per hour
