Legacy CPAs is an established public accounting firm located in Mesa, Arizona. We specialize in accounting, bookkeeping, tax preparation, and tax planning for successful companies and individuals across the United States. We are seeking an organized and driven Executive Assistant to join our team and support our CEO and executive staff.

Position Overview

We are seeking a highly organized, proactive, and detail\-driven Executive Assistant to directly support an Executive member of a growing CPA and advisory firm. This role is responsible for managing the Executive's day\-to\-day operations, managing emails, debriefing after appointments, logging data into the company software, ensuring priorities are executed efficiently, and other supportive tasks for the Executive.

This is not a passive administrative role. The ideal candidate is a sharp, process\-minded operator who can anticipate needs, manage information flow, and maintain structure across a fast\-moving executive environment while also supporting accounting team workflows.

Key Responsibilities / Executive Support (Primary Focus)

Email Management

  • Fully manage the Executive inbox (triage, categorize, respond when appropriate, flag priorities, forward to the team as appropriate, etc.)
  • Draft and send professional communications on behalf of the Executive
  • Ensure timely follow\-ups and prevent missed communications
  • Calendar \& Scheduling Management

  • Own and optimize the calendar (internal meetings, client calls, strategic time blocking)
  • Coordinate meetings with clients, partners, and internal staff
  • Meeting Preparation \& Debriefing

  • Prepare briefing materials prior to meetings (client background, notes, objectives)
  • Attend or review meetings with the Executive post meeting and provide summaries and action items
  • Track and ensure completion of all follow\-ups
  • Executive Operations \& Workflow Management

  • Act as gatekeeper and prioritization filter for Executives time
  • Identify inefficiencies and implement improved systems/processes
  • Maintain organization across Executive tasks, projects, and initiatives
  • Document \& Data Management

  • Organize, create, enter, and maintain digital files across systems (CRM, document management platforms, shared drives)
  • Ensure proper naming conventions, version control, and accessibility
  • Prepare and format reports, proposals, client deliverables, and internal documents
  • Assist with assembling financial packages, client reports, and presentations
  • Accounting \& Administrative Support

  • Support partner accountants with tasks upon request such as but not limited to; Data entry and reconciliation support, document collection and organization, CRM and client record updates, and coordinate with internal team to ensure deadlines are met and workflows stay on track
  • Client \& Internal Coordination

  • Serve as a point of coordination between CEO, partners, and clients
  • Ensure client requests are routed, tracked, and completed efficiently
  • Maintain a high level of professionalism and confidentiality in all interactions
  • Qualifications

  • 3\+ years experience in an Executive Assistant, Operations, or Administrative role (professional services or accounting firm is a big plus)
  • Strong organizational and time management skills with extreme attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and operate in a fast\-paced environment
  • High level of discretion and professionalism with sensitive information
  • Proficiency in tools such as:
  • Email \& calendar systems
  • CRM systems
  • Microsoft Office
  • Document management systems

  • $65,000 \- $75,000 salary based on experience
