Job Title: Accounting and Administrative Assistant
Job Description :
We are seeking a detail\-oriented, dependable Accounting and Administrative Assistant to support financial data entry and administrative operations across multiple affiliated entities.
This position combines bookkeeping support and general administrative assistance, helping ensure that financial records and operational documentation remain accurate, organized, and up to date.
Primary responsibilities include accounts payable and accounts receivable data entry in QuickBooks Online, along with administrative support for internal teams.
This role focuses on financial data entry and clerical accounting support and does not include payroll processing, reconciliations, journal entries, general ledger review, or higher\-level accounting functions, which remain under the scope of our external bookkeeping and accounting firms.
Key Responsibilities :
Accounting Support
- Enter and process accounts payable and accounts receivable transactions
- Record and apply incoming payments and credits in QuickBooks Online
- Accurately input vendor invoices, customer payments, and related financial data
- Maintain up\-to\-date vendor and client records
- Communicate with vendors and clients regarding billing or payment inquiries
- Monitor aging reports and assist with follow\-up on outstanding receivables
- Track and categorize expenses and payments by project or job for proper coding
- Assist with generating standard reports from QuickBooks as requested
- Maintain organized digital records for financial and operational documentation
- Assist with document management and file organization
- Support internal teams with project\-based data entry and documentation
- Assist with compiling documentation for leadership or external accounting firms
- Provide general administrative support as needed to maintain organized workflows
- Proficiency in QuickBooks Online (QBO) – minimum 3 years hands\-on experience preferred
- Strong data entry accuracy and attention to detail
- Experience with accounts payable and accounts receivable processes
- Familiarity with project\-based coding (by job, task, or department) preferred
- Proficiency in Microsoft Excel or Google Sheets
- Strong organizational and communication skills
- Ability to work independently and manage multiple priorities
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred
- Minimum 3–5 years of bookkeeping, accounting support, or financial data entry experience
- Experience working in a multi\-entity business environment is a plus
