Office Administrator (Healthcare / CNA Training Program)
Job Overview
We are seeking a highly organized, detail\-oriented, and reliable Office Administrator to support the daily operations of our healthcare office and Certified Nurse Aide (CNA) training program.
This is a critical role responsible for ensuring smooth office operations, accurate documentation, and professional communication with patients, family members, service coordinators, prospective students, caregivers, and internal staff.
The ideal candidate is dependable, structured, and able to manage multiple responsibilities with minimal errors while maintaining a high level of professionalism in all interactions.
Key Responsibilities
- Answer and manage incoming phone calls in a professional and courteous manner
- Respond to emails and inquiries from patients, family members, service coordinators, prospective students, and caregivers
- Provide accurate information regarding our CNA training program and caregiver opportunities
- Communicate effectively with current caregivers regarding scheduling, documentation, and general support
- Distribute and collect student and employment applications
- Review applications to ensure all required information and supporting documents are complete and accurate
- Follow up with applicants to obtain missing information or documentation in a timely manner
- Maintain organized physical and digital filing systems
- Perform general office duties including copying, scanning, and faxing documents
- Assist with scheduling, record keeping, and administrative coordination
- Ensure all documentation and communication are handled with accuracy, confidentiality, and professionalism
- Previous experience as an Office Administrator, Administrative Assistant, or similar role
- Strong attention to detail and ability to review documents for accuracy
- Excellent verbal and written communication skills across diverse groups (patients, families, staff, and applicants)
- Ability to multitask and remain organized in a fast\-paced environment
- Professional demeanor and strong interpersonal skills
- Basic computer skills (email, Microsoft Office, data entry)
- Ability to work independently and take initiative
- Experience in a healthcare, home care, or training/education environment
- Experience communicating with patients, families, or service coordinators
- Familiarity with handling applications, onboarding, or admissions processes
- Experience working with compliance\-driven documentation
