    Position Overview

    We are seeking a highly organized and proactive Administrative Assistant to support executive leadership, HR, and daily operations. This role is essential in keeping our organization running smoothly. The ideal candidate is detail\-oriented, tech\-savvy, and able to manage multiple priorities independently.

    Key Responsibilities

    1\. Executive / CEO Support

  • Coordinate events and conference logistics (e.g., ABA conferences)
  • Assist with creation and organization of marketing materials
  • Post content on social media
  • Communicate with vendors
  • Request quotes, compare pricing, and make approved business purchases
  • 2\. HR Administrative Support

  • Assist with onboarding paperwork (offer letters, documents, checklists)
  • Track employee documentation (licenses, RBT certifications, expirations)
  • Maintain HR files and compliance records
  • Send reminders for credential renewals, missing onboarding items, and annual trainings
  • Maintain candidate tracking sheets
  • Prepare basic HR reports (turnover, hires, etc.)
  • 3\. Operations / General Admin Support

  • Perform data entry and maintain organized records (insurance info, employee data, etc.)
  • Maintain trackers and spreadsheets
  • Prepare and format documents (forms, templates, letters)
  • Support internal communications (announcements, reminders)
  • Qualifications

  • 1–3 years of administrative experience (healthcare experience preferred)
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office (Excel required)
  • Excellent written and verbal communication skills
  • Ability to handle confidential information
  • Detail\-oriented, proactive, and tech\-savvy

  • Experience supporting leadership
  • Location: Miami\-Dade, FL (Hybrid):

    In\-Office: Tuesday–Thursday \| Remote: Monday \& Friday

    Compensation: $22–$25/hour (based on experience)
