Schedule: Monday – Friday, 8:30 AM – 5:00 PM

Location: On\-site in Brooklyn, NY 11218

Position Summary: The Front Desk Coordinator is responsible for managing the day\-to\-day front office operations and serving as the primary point of contact for patients and visitors. This role ensures a professional, organized, and welcoming environment while supporting patient scheduling, registration, insurance verification, and administrative coordination. The Front Desk Coordinator plays an important role in maintaining efficient patient flow and supporting communication between patients, providers, and administrative staff. This position requires strong organizational skills, attention to detail, and a commitment to delivering an exceptional patient experience.

Key Responsibilities

  • Serve as the first point of contact for patients and visitors, providing a welcoming and professional experience.
  • Manage incoming phone calls, respond to patient inquiries, and direct calls to the appropriate staff members when necessary.
  • Schedule, confirm, and coordinate patient appointments, including in\-person or telehealth visits with Nurse Practitioners.
  • Register new patients and update existing patient information in the Electronic Medical Record (EMR) system.
  • Verify patient insurance eligibility and ensure all required demographic and insurance information is collected accurately.
  • Coordinate patient check\-in and check\-out processes while maintaining efficient patient flow.
  • Communicate with Medical Assistants, Nurse Practitioners, and administrative staff to support care coordination and scheduling needs.
  • Maintain accurate and organized patient records in compliance with HIPAA and healthcare privacy regulations.
  • Conduct appointment reminder calls and follow\-up communication with patients as needed.
  • Assist with administrative tasks including document scanning, filing, and data entry.
  • Monitor front desk operations to ensure a clean, organized, and professional environment.
  • Support operational efficiency by identifying scheduling issues or workflow challenges and escalating them to leadership when necessary.
  • Required Qualifications

  • High School Diploma or GED required.
  • 2\-4 years of experience working in a busy medical office, healthcare environment, or administrative front desk role required.
  • Bilingual fluency in Spanish a huge plus.
  • Experience using Electronic Medical Records (EMR); experience with AdvancedMD is a plus.
  • Strong customer service and interpersonal skills with a patient\-centered approach.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to multitask in a fast\-paced healthcare environment.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Preferred Qualifications

  • Experience working in telehealth, Remote Patient Monitoring (RPM), or Chronic Care Management (CCM) environments.
  • Familiarity with medical terminology and healthcare administrative workflows.
  • Experience verifying insurance coverage and obtaining prior authorizations.
