SUMMARY
The Logistics Administrative Assistant provides clerical and administrative support to logistics operations. This role is office\-based and focuses on maintaining accurate documentation, supporting recordkeeping processes, and assisting with daily administrative tasks to ensure smooth and organized operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Maintain and organize all warehouse\-related documentation and records.
- Prepare, review, and file shipping and receiving documents, including:
- Ensure all inbound and outbound shipment paperwork is accurate and properly recorded.
- Enter and update data in office systems, spreadsheets, or ERP systems.
- Assist the Warehouse Manager with daily administrative tasks and reporting.
- Maintain filing systems (physical and digital) for easy retrieval and compliance.
- Communicate documentation details with internal departments such as accounting and customer service.
- Track and log shipment information and maintain status updates in internal systems.
- Answer calls, respond to emails, and provide general clerical support to logistics operations.
- Support inventory documentation processes, including data entry and record verification.
- Ensure compliance with company documentation standards and procedures.
- Strong organizational and clerical skills with attention to detail.
- Proficiency in basic office software (Microsoft Office, email, data entry systems).
- Ability to maintain accurate records and manage documentation efficiently.
- Strong written and verbal communication skills for internal coordination.
- Ability to handle multiple administrative tasks and prioritize effectively.
- Previous administrative or clerical experience in a warehouse or logistics environment.
- Familiarity with shipping and receiving documentation.

EDUCATION AND/OR EXPERIENCE
Two to five years related experience and/or training.
LANGUAGE SKILLS
Ability to read and interpret documents such as engineering specifications, safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers, vendors, and employees.
COMPETENCIES
MATHEMATICAL SKILLS
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions.
COMPUTER SKILLS
To perform this job successfully, an individual should have knowledge of Project Management software, Spreadsheet software and Word Processing software.
PHYSICAL DEMANDS
Read computer monitor and written documentation. Require bending, standing and reaching. Sit for long periods of time. May lift and or move at least 15 pounds.
