Job Summary:
A detail\-oriented Accounts Receivable Billing Specialist to manage our revenue cycle operations. This role focuses on ensuring accurate billing, timely collection of outstanding payments, and meticulous record\-keeping using PointClickCare. The ideal candidate possesses advanced Excel skills to analyze aging reports and streamline financial data in a fast\-paced healthcare environment.
Essential Functions and Responsibilities:
Billing Revenue Cycle Management
- Assisted Living (ALF/RC): Manage the monthly billing cycle, including posting charges, generating statements, processing ACH payments, and performing month\-end close.
- Skilled Nursing (SNF): Oversee statement mailing, payment posting, and ACH processing. Upload EOBs and denials, ensuring the AR team is immediately notified of any issues via Teams.
- Census Management: Reconcile AL census against PointClickCare (PCC) records; monitor levels of care and assist with second\-look reviews for SNF admissions.
- Specialized Billing: Prepare Axis billing spreadsheets for State Fiscal Year (SFY); process monthly Long\-Term Care insurance paperwork for ALF residents.
- Collections: Monitor AR aging for ALF; contact residents and families regarding past\-due balances and coordinate with external collection agencies (ICS) when necessary.
- Deposits: Process deposits via Remote Deposit Capture (RDC) for multiple entities (HC/RC/VIP/PG). Handle Petty Cash reconciliation.
- ACH Payments: Upload ACH files to the bank for SNF/ALF/RC; process credit card payments and manage Positive Pay backup.
- Trust Accounts: Balance SNF Resident Trust accounts monthly; manage Master Trust cancellation paperwork and CCRC file closures.
- Insurance Payroll: Perform monthly reconciliations of insurance invoices against employee payroll deductions; report discrepancies to HR. Track insurance arrears for employees on Leave of Absence (LOA).
- Financial Reporting: Maintain bank spreadsheets with CBB entries; prepare Payroll Positive Pay spreadsheets.
- Refunds Credits: Process credit balance refunds for AL/SNF, obtaining necessary approvals from leadership; prepare check requests for VIP/ASA cancellations and transfers.
- Meetings: Participate in weekly SNF AR aging meetings, monthly ALF AR/Bad Debt meetings, and Triple Check (HMO) meetings.
- Accounts Payable Support: Code invoices in AvidXchange; balance and code new hire physical/fingerprinting invoices.
- Documentation: Submit paperwork to Medi\-Cal consultants; manage financial review paperwork and coordinate medical record shredding/year\-end file rotations.
- Operations: Order office supplies for the Business Office and manage the Christmas Gift Fund accounts.
- PointClickCare: 1–3\+ years of hands\-on experience in a skilled nursing or long\-term care setting.
- Advanced Excel: Mastery of complex workbooks, formulas, and data analysis tools.
- Healthcare Knowledge: Deep understanding of medical billing, ICD\-10/CPT/HCPCS coding, and HIPAA confidentiality standards.
- Communication: Strong interpersonal and negotiation skills for handling delicate payment discussions with residents and families.
- Organization: Exceptional attention to detail with the ability to manage multiple priorities and meet tight fiscal deadlines.
