Job Summary
We are seeking a reliable, detail\-oriented Office \& Field Operations Coordinator to support daily operations within our trucking and logistics company. This role is a hybrid of office administration and field support, requiring someone who can handle paperwork, run operational errands, and actively monitor drivers for safety and compliance.
This is NOT a remote position — candidate must report to the office daily and be available for field work as needed.
- Manage daily office operations, including front desk responsibilities, multi\-line phone systems, and visitor coordination
- Oversee transportation scheduling, route planning, and dispatch coordination for field teams
- Maintain accurate records using software such as QuickBooks and Microsoft Office; perform data entry and filing tasks
- Support office management tasks including calendar management, appointment setting, and document proofreading
- Provide exceptional customer service by assisting clients, vendors, and team members with inquiries and support needs
- Coordinate with field personnel to ensure timely delivery of materials and adherence to schedules
- Handle clerical duties such as filing, photocopying, and maintaining office supplies to ensure a well\-organized workspace
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with QuickBooks for bookkeeping and financial record\-keeping
- Excellent organizational skills with the ability to multitask efficiently in a busy environment
- Effective phone etiquette with experience managing multi\-line phone systems and providing customer support
- Bilingual abilities are highly desirable to serve diverse populations effectively
- Proven office management experience combined with clerical expertise including data entry, filing, proofreading, and calendar management
- Knowledge of medical or dental receptionist duties is a plus for handling specialized client interactions
- Personal assistant or administrative experience demonstrating strong time management and organizational skills
- Manage and organize driver files, logs, and compliance documentation
- Assist with onboarding drivers (documents, applications, safety requirements)
- Maintain records for USDOT and FMCSA compliance
- Communicate with dispatch, drivers, and management
- Track and update driver status, truck assignments, and documentation
- Visit job sites, yards, and driver locations as needed
- Perform driver check\-ins and ensure safety protocols are being followed
- Conduct basic compliance checks (ELDs, logs, PPE, equipment condition)
- Run company errands (documents, equipment, parts, etc.)
- Support operational needs in real\-time
- Must be able to work on\-site daily (not remote)
- Valid driver’s license and reliable transportation
- Strong communication and organizational skills
- Ability to multitask in a fast\-paced environment
- Basic understanding of trucking operations preferred
- Familiarity with DOT/FMCSA regulations is a plus
- Experience in trucking, logistics, or transportation industry
- Knowledge of driver logs, ELD systems, and compliance standards
- Bilingual (English/Spanish) is a plus
