Responsibilities

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi\-line phone systems, screen calls, and direct inquiries efficiently
  • Handle all front desk duties including scheduling appointments, maintaining calendars, and coordinating meetings
  • Perform data entry, filing, and document proofreading to support office operations
  • Utilize computer skills with proficiency in Microsoft Office, Google Workspace, and other office management tools
  • Maintain organized records of visitor logs, correspondence, and administrative files
  • Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and general clerical duties
  • Provide excellent customer support by addressing inquiries professionally and courteously
  • Assist with calendar management for staff and executives to ensure smooth scheduling
  • Uphold phone etiquette standards while managing incoming calls with clarity and professionalism
  • Skills

  • Strong computer literacy with experience in Microsoft Office Suite and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Proven experience in office management or administrative roles, including clerical work and data entry
  • Exceptional customer service skills with a friendly demeanor and professional phone etiquette
  • Bilingual abilities are a plus to serve diverse clients and visitors effectively
  • Familiarity with multi\-line phone systems and office equipment operation
  • Attention to detail in proofreading documents and maintaining accurate records
  • Time management skills to handle multiple responsibilities efficiently
  • Previous experience as a dental or medical receptionist is advantageous but not required
  • Personal assistant or calendar management experience is beneficial for supporting executive needs
