Overview

We are seeking a detail\-oriented and proactive Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations by performing a variety of administrative and clerical tasks. This position requires strong organizational skills, excellent communication abilities, and proficiency in various software applications. As an Administrative Assistant, you will be the first point of contact for patients, ensuring a welcoming environment while managing office functions efficiently.

Duties

  • Manage front desk operations, greeting patients and handling inquiries with professionalism and courtesy.
  • Operate multi\-line phone systems to manage incoming calls, directing them to appropriate personnel while maintaining excellent phone etiquette.
  • Perform data entry tasks accurately and efficiently, ensuring all information is up\-to\-date in company databases.
  • Assist with calendar management, scheduling appointments, and coordinating meetings for staff members.
  • Maintain organized filing systems for both physical and electronic documents to ensure easy retrieval of information.
  • Provide customer support by addressing patient questions and concerns promptly, fostering positive relationships.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for document creation, data management, and communication.
  • Support office management functions by ordering supplies, maintaining inventory levels, and ensuring the office environment is tidy.
  • Qualifications

  • Proven experience as an Administrative Assistant or in other administrative roles is preferred.
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel) and Google Workspace; familiarity with QuickBooks is a plus.
  • Excellent organizational skills with the ability to manage multiple tasks effectively while prioritizing workload.
  • Bilingual candidates are highly desirable to assist with diverse client interactions.
  • Previous experience in front desk operations or customer service roles is beneficial.
  • Strong typing skills with attention to detail for data entry and document preparation.
  • Demonstrated time management skills to meet deadlines in a fast\-paced environment.
  • Experience as a chiropractic receptionist or medical receptionist is an advantage but not required.
  • A background in clerical work or personal assistant roles will be considered an asset.
