Overview
We are seeking a tech savvy and detail\-oriented administrative assistant to join the real estate group of our growing firm. Our firm handles north of 500 real estate transactions per year and is looking to scale up to more than 1,000 in the next 2 years. We are seeking an individual who can learn and internalize our processes, then train the next generation of administrative assistants that will follow.
The ideal candidate will be friendly, calm under pressure, have experience handling phone calls, and be able to triage many action items while reprioritizing as new tasks come in.
An understanding of the residential real estate process in New Jersey and the associated documents is a plus. Prior work experience in a law firm is a plus.
This position has room for advancement into a paralegal role.
Responsibilities
- Intake and preparation of new files
- Updating of case management software
- Interfacing with clients and referral partners via phone calls, email, and text messaging (from company provided phone numbers)
- Organizing and maintaining electronic files
- Occasional mailing of documents
- Strong organizational skills with the ability to manage multiple tasks simultaneously \- being highly organized is a must
- Strong client service and phone call handling skills are a must
- Ability to prioritize a large quantity of deliverables based on urgency
- Proven and reliable proofreading skills
- Strong communication skills, both written and verbal, for effective interaction with clients and colleagues
- Open mindedness towards use of advancing technology is highly desirable
- Bachelor’s degree or equivalent experience in a legal setting is preferred.
- Experience with document management systems is preferred.
