About the Role
The Office Manager/Executive Assistant is a highly organized, proactive, and dependable team member who helps keep the Grit office running efficiently day to day while also directly supporting company leadership. You'll be the first person residents, vendors, and visitors connect with — whether they're walking through our door, calling with a question, or scheduling a property tour. This role is the operational hub of the office — helping manage administrative flow, maintain organization, support property management functions, and ensure key systems, supplies, scheduling, and communication stay on track.
This person will also work closely with the Owner and leadership team on a variety of property management and administrative tasks, making this an excellent fit for someone who enjoys wearing many hats, staying organized, and stepping in wherever needed.
Because this role directly supports a busy property management operation, prior property management experience is required. We are looking for someone who understands the pace, moving pieces, and day\-to\-day demands of working in a property management environment.

Key Responsibilities:
Office Management \& Administrative Operations
- Serve as a central point of coordination for the office, helping maintain order, organization, and follow\-through across daily operations
- Keep the office clean, organized, stocked, and running efficiently
- Manage office supply inventory and place orders as needed
- Maintain organization of office files, shared documents, forms, and administrative records
- Oversee key organization and key tracking processes to ensure keys are labeled, logged, stored properly, and easy to access
- Help manage inventory and organization of signage, lockboxes, office equipment, and other operational materials
- Support office systems and administrative processes so nothing falls through the cracks
- Assist with incoming calls, messages, visitors, vendors, and general office communication
- Provide day\-to\-day administrative support to the property management team
- Assist with scheduling, coordination, and follow\-up related to property management activities
- Help organize and track work orders, vendor communication, property files, and internal tasks
- Support leasing and operations teams with documentation, communication, and coordination as needed
- Assist with maintaining accurate records in company systems, spreadsheets, and shared trackers
- Help ensure operational details such as keys, notices, forms, and property\-related materials are organized and ready when needed
- Provide direct administrative support to the Owner and leadership team
- Assist with calendar coordination, scheduling, reminders, and meeting logistics
- Help prepare documents, correspondence, reports, and internal communications
- Track action items, deadlines, and follow\-ups to help leadership stay organized and ahead of priorities
- Assist with special projects, research, and administrative tasks tied to company operations and property management
- Serve as a dependable right hand for leadership by anticipating needs, staying organized, and helping execute priorities
- Create marketing materials for vacant properties
- Schedule property showings and coordinate with leasing agents
- Track leasing activity and maintain accurate records
- Respond promptly to leasing inquiries via phone, email, and walk\-ins
- Maintain filing systems and ensure documents are accessible and up to date
- Assist with data entry, report generation, and other administrative tasks as needed
- Support team members with scheduling, correspondence, and project coordination
- Handle supply orders and vendor coordination for office needs
- Property management experience is required
- 2\+ years of experience in property management, office management, executive assistant, administrative, or operations support roles preferred
- Strong organizational skills with excellent attention to detail and follow\-through
- Ability to manage multiple moving pieces in a fast\-paced office environment
- Clear, professional, and respectful communication skills in person, on the phone, and in writing
- Comfortable supporting leadership directly while also helping the broader team
- Proficient with standard office software including email, calendars, spreadsheets, and word processing tools
- Able to learn new systems quickly and keep accurate records
- Reliable, punctual, adaptable, and team\-oriented
- Proactive mindset with the ability to spot what needs to be done and take initiative
