Duties

  • Manage complex calendars using Microsoft Outlook Calendar, scheduling meetings, appointments, and events with precision and flexibility.
  • Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
  • Provide comprehensive executive administrative support by handling correspondence, drafting documents, proofreading materials, and transcribing notes as needed.
  • Organize and maintain filing systems—both digital using Google Workspace and physical—to ensure quick retrieval of important documents.
  • Assist with event planning for company meetings, conferences, and team\-building activities, managing logistics from venue selection to catering arrangements.
  • Conduct data entry and bookkeeping tasks utilizing QuickBooks to track expenses, invoices, and budgets accurately.
  • Handle front desk responsibilities including greeting visitors, answering multi\-line phone systems with professional phone etiquette, and directing calls efficiently.
  • Support office management duties such as ordering supplies, maintaining office equipment, and overseeing general clerical tasks to keep the workspace organized.
  • Perform transcription of meetings or interviews and proofread documents to ensure clarity and accuracy.
  • Facilitate project coordination by tracking deadlines, preparing reports, and communicating updates across teams.
  • Qualifications

  • Proven experience as a Personal Assistant or in an administrative support role with at least two years of relevant office experience.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Docs, Sheets), and familiarity with DocuSign for electronic signatures.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
  • Demonstrated experience in event planning, project coordination, bookkeeping, and office management.
  • Exceptional typing speed combined with strong proofreading and transcription abilities.
  • Outstanding communication skills with professional phone etiquette across multi\-line phone systems.
  • High level of computer literacy including data entry skills and experience with QuickBooks for bookkeeping purposes.
