We are seeking a dynamic and highly organized Personal Assistant to support executive leadership and streamline daily operations. Responsibilities
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Provide executive administrative support by preparing correspondence, reports, presentations, and proofreading documents for accuracy.
- Handle phone etiquette professionally across multi\-line phone systems, screening calls and directing inquiries appropriately.
- Organize and maintain filing systems—both digital and physical—ensuring easy retrieval of documents and records.
- Assist with event planning for company functions or meetings, including venue selection, catering arrangements, and logistics coordination.
- Perform data entry, bookkeeping using QuickBooks, invoicing, and basic office management tasks to keep operations running smoothly.
- Support project coordination efforts by tracking deadlines, preparing status reports, and collaborating with team members.
- Conduct transcription and assist with document signing via DocuSign to facilitate timely approvals.
- Provide front desk support by greeting visitors, managing incoming mail/packages, and maintaining a professional office environment.
- Proven experience as a Personal Assistant or in an administrative support role with at least two years of relevant office experience.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast\-paced setting.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), Microsoft Outlook Calendar, and familiarity with multi\-line phone systems.
- Experience with bookkeeping software such as QuickBooks along with basic bookkeeping skills.
- Exceptional typing speed combined with proofreading and transcription abilities for accurate document preparation.
- Demonstrated ability to handle confidential information discreetly while providing outstanding customer service.
- Knowledge of office management practices including filing systems, data entry procedures, and front desk operations.
