Responsibilities

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
  • Provide executive administrative support by preparing correspondence, reports, presentations, and proofreading documents for accuracy.
  • Handle phone etiquette professionally across multi\-line phone systems, screening calls and directing inquiries appropriately.
  • Organize and maintain filing systems—both digital and physical—ensuring easy retrieval of documents and records.
  • Assist with event planning for company functions or meetings, including venue selection, catering arrangements, and logistics coordination.
  • Perform data entry, bookkeeping using QuickBooks, invoicing, and basic office management tasks to keep operations running smoothly.
  • Support project coordination efforts by tracking deadlines, preparing status reports, and collaborating with team members.
  • Conduct transcription and assist with document signing via DocuSign to facilitate timely approvals.
  • Provide front desk support by greeting visitors, managing incoming mail/packages, and maintaining a professional office environment.
  • Requirements

  • Proven experience as a Personal Assistant or in an administrative support role with at least two years of relevant office experience.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast\-paced setting.
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), Microsoft Outlook Calendar, and familiarity with multi\-line phone systems.
  • Experience with bookkeeping software such as QuickBooks along with basic bookkeeping skills.
  • Exceptional typing speed combined with proofreading and transcription abilities for accurate document preparation.
  • Demonstrated ability to handle confidential information discreetly while providing outstanding customer service.
  • Knowledge of office management practices including filing systems, data entry procedures, and front desk operations.
  • Strong communication skills with professional phone etiquette across diverse interactions.
