The Amada Senior Care Davenport team is seeking a dynamic and organized Office Assistant to join our team and help keep our office running smoothly and efficiently. This role offers an exciting opportunity to support daily operations, enhance office productivity, and deliver exceptional customer service. The ideal candidate will be energetic, detail\-oriented, and possess a strong foundation in administrative tasks, office management, and communication skills.

Job Tasks

  • Manage office responsibilities, greeting clients and directing them appropriately with professionalism and warmth
  • Operate multi\-line phone systems to handle incoming calls efficiently, providing excellent phone etiquette and customer support
  • Perform onboarding, complete payroll, filing, and maintain accurate records using Microsoft Office, AxisCare, Dialpad and other office software.
  • Assist with appointment scheduling and calendar management to ensure smooth daily operations
  • Support bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
  • Provide clerical support such as proofreading documents, preparing reports, and managing correspondence
  • Facilitate office management activities to ensure a well\-organized workspace
  • Requirements

  • Proven experience in an office environment with strong clerical and administrative skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook and Teams), AxisCare and Dialpad
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong computer literacy with familiarity in data entry, filing systems, and basic bookkeeping (QuickBooks experience preferred)
  • Exceptional phone etiquette skills
  • Previous experience as a receptionist or personal assistant is important, especially in medical or dental settings
  • Demonstrated time management skills with the ability to handle multiple responsibilities efficiently
