We are seeking a dynamic and organized Front Desk Receptionist and Administrative Assistant to be the welcoming face and efficient support system of our office. This role combines front desk responsibilities with vital administrative tasks, ensuring smooth daily operations and excellent customer service. The ideal candidate will be energetic, detail\-oriented, and possess strong organizational skills to manage multiple duties seamlessly. You will serve as the first point of contact for visitors and callers while providing essential administrative support to our team. Responsibilities

  • Greet visitors warmly, assist with check\-in procedures, and direct them appropriately
  • Manage multi\-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
  • Maintain a clean and organized front desk area, ensuring a welcoming environment for all guests
  • Handle data entry, filing, and document proofreading to support office operations
  • Schedule appointments, manage calendars, and coordinate meetings using Google Workspace and Microsoft Office tools
  • Perform clerical duties such as photocopying, scanning, mailing, and maintaining office supplies inventory
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
  • Provide customer support by addressing inquiries promptly and professionally in person or via phone or email
  • Support office management activities including organizing files, managing correspondence, and supporting special projects
  • Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with multi\-line phone systems and professional phone etiquette
  • Bilingual abilities are a plus to serve diverse clients effectively
  • Experience with QuickBooks or bookkeeping software is desirable for financial tasks
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Exceptional customer service skills with a friendly demeanor and positive attitude
  • Ability to manage time efficiently and prioritize tasks effectively in a fast\-paced environment
  • Previous experience as a dental or medical receptionist is advantageous but not required; personal assistant experience is also valued
  • Knowledge of office management best practices including filing systems, calendar management, and document organization
