Job Summary
We are seeking a proactive and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. Duties
- Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Coordinate and organize various projects and events, ensuring deadlines are met and resources are allocated effectively.
- Handle all aspects of office management including filing, data entry, bookkeeping with QuickBooks, and overseeing office supplies inventory.
- Provide executive administrative support such as drafting correspondence, proofreading documents, transcribing meetings, and preparing reports.
- Manage multi\-line phone systems with professionalism, practicing excellent phone etiquette while directing calls appropriately.
- Facilitate communication by managing emails, responding to inquiries promptly, and maintaining organized digital files.
- Support bookkeeping tasks including invoicing, expense tracking, and reconciling accounts using QuickBooks or similar software.
- Assist with personal errands or tasks as needed to support the executive’s daily routine.
- Use office technology tools such as Microsoft Office Suite (Word, Excel), Google Workspace applications, DocuSign for document signing, and other relevant software to streamline workflows.
- Proven experience as a Personal Assistant or in an administrative support role with a minimum of two years of relevant office experience.
- Demonstrated expertise in calendar management, project coordination, event planning, and office management functions.
- Strong proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), QuickBooks for bookkeeping tasks, and familiarity with multi\-line phone systems.
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
- Exceptional written and verbal communication skills with keen attention to proofreading and transcription accuracy.
- Experience in handling clerical duties such as filing, data entry, customer service interactions at the front desk, and managing office supplies.
