Overview
We are seeking a highly organized and proactive Personal Assistant to support executive leadership with a variety of administrative, project coordination, and office management tasks. The ideal candidate will possess strong communication skills, excellent organizational abilities, and proficiency in various office software. Responsibilities
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, including scheduling appointments, meetings, and events
- Coordinate and plan events, meetings, and travel arrangements with attention to detail
- Handle correspondence via multi\-line phone systems, email, and other communication channels with professionalism and courtesy
- Prepare, proofread, and transcribe documents using Microsoft Office tools, including Word and Excel
- Perform data entry, filing, and document management to ensure accurate record keeping
- Assist with bookkeeping tasks utilizing QuickBooks and perform basic bookkeeping functions
- Support project coordination efforts by tracking deadlines, preparing reports, and managing task lists
- Provide executive administrative support such as proofreading documents, managing office supplies, and handling front desk duties
- Utilize office management skills to streamline daily operations and improve workflow efficiency
- Use DocuSign for electronic signatures and manage administrative paperwork efficiently
- Proven experience as a Personal Assistant or in an administrative support role with office management responsibilities
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent typing speed and accuracy for data entry, transcription, and proofreading tasks
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and familiarity with Microsoft Outlook Calendar
- Experience with QuickBooks for bookkeeping purposes is preferred
- Knowledge of event planning, project coordination, and calendar management tools
- Exceptional phone etiquette and customer service skills for handling correspondence professionally
- Ability to manage multi\-line phone systems efficiently
- Strong computer literacy with the ability to adapt to new software quickly
- Attention to detail in proofreading documents and managing administrative tasks
- Prior office experience or clerical experience is highly desirable
