Overview
We are seeking a highly organized and detail\-oriented Executive Assistant \- Bookkeeper to support our executive team and manage essential administrative and financial tasks. This role requires a proactive individual with strong office management skills, proficiency in bookkeeping, and the ability to coordinate multiple projects efficiently. The ideal candidate will possess excellent communication skills, advanced computer literacy, and experience in handling sensitive information with discretion. Responsibilities
- Provide comprehensive executive administrative support, including calendar management, scheduling meetings, and coordinating appointments using Microsoft Outlook Calendar and Google Workspace.
- Manage bookkeeping tasks utilizing QuickBooks, including invoicing, expense tracking, and financial record maintenance.
- Assist with event planning and project coordination to ensure successful execution of company events and initiatives.
- Handle office management duties such as filing, data entry, document proofreading, transcription, and maintaining organized filing systems.
- Support front desk operations with multi\-line phone systems, phone etiquette, customer service inquiries, and greeting visitors professionally.
- Prepare reports, presentations, and correspondence with high accuracy using Microsoft Office Suite and other relevant tools.
- Facilitate document signing processes through DocuSign and ensure timely completion of administrative tasks.
- Perform clerical duties including typing, proofreading, data entry, filing, and managing office supplies.
- Provide personal assistant support to executives as needed, including travel arrangements and personal scheduling.
- Proven experience in office management, executive administrative support, or related roles.
- Strong bookkeeping skills with proficiency in QuickBooks or similar accounting software.
- Excellent organizational skills with the ability to manage multiple projects simultaneously under tight deadlines.
- Advanced computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), Microsoft Outlook Calendar, and multi\-line phone systems.
- Exceptional communication skills with professional phone etiquette and customer service experience.
- Attention to detail in proofreading, transcription, data entry, and document management.
- Ability to handle confidential information discreetly and maintain a high level of professionalism.
- Experience in event planning and project coordination is preferred.
