Position Summary The In\-Person Receptionist serves as the welcoming, on\-site first point of contact for patients, providers, and visitors. This role is responsible for maintaining an organized and professional reception area while managing all front\-office responsibilities that require an in\-person presence. Working closely with the Virtual Receptionist, who manages phone calls, emails, and scheduling communications remotely, the In\-Person Receptionist ensures a seamless, efficient, and positive experience for everyone entering the practice. Essential Duties \& Responsibilities ● Open and close the office daily, including security system procedures, preparing the waiting room and reception area, and securing the building at the end of the day. ● Check voicemail messages each morning and route them to the appropriate staff member. ● Check patients in and out for appointments, confirming identity, reviewing required documentation, and communicating next steps. ● Collect copayments, coinsurance, deductible payments, and self\-pay balances at the time of service, and document all payments in the EHR (phone\-call payments are routed to the billing specialist). ● Schedule evaluation, feedback, and counseling appointments for patients when applicable.. ● Print reports and feedback lists ahead of scheduled feedback appointments. ● Print immigration reports by 12:00 pm on Wednesdays. ● Check patients in and out for counseling appointments. ● Scan patient records into the electronic file system, and create and file physical documents alphabetically. ● Send completed reports to referring providers. ● Facilitate efficient patient flow throughout the day, coordinating between the waiting room, reception desk, and clinical staff. ● Perform light cleaning and upkeep of the reception area (empty trash, stock supplies). ● Protect patient confidentiality and safeguard protected health information (PHI) at all times, in compliance with HIPAA and Practice policy. ● Maintain, scan, and print daily attendance logs. ● Sends timesheets to the bookkeeper for processing each month. ● Order testing inventory and additional supplies for the office. Knowledge, Skills \& Abilities ● Strong verbal communication skills, with the ability to interact professionally and compassionately with patients, families, providers, and staff in person. ● Ability to maintain composure and provide excellent customer service in a clinical, sometimes emotionally sensitive, in\-person environment. ● Strong attention to detail and accuracy, particularly when collecting payments and handling physical patient files. ● Working knowledge of, or ability to learn, Google Workspace, TherapyNotes, multi\-line phone systems, and standard office equipment (printer, scanner). ● Sound judgment and discretion in handling confidential and sensitive patient information. ● Dependability and punctuality, given this role's responsibility for opening and closing the office. Education \& Experience ● High school diploma or equivalent required. ● Prior experience in a medical, mental health, or other healthcare front\-office setting preferred. Physical Requirements \& Work Environment This position is based on\-site in a professional office and clinical environment. The In\-Person Receptionist must be comfortable alternating between sitting and standing at the front desk for extended periods, using computer and telephone systems throughout the workday, and occasionally lifting or moving office supplies and materials weighing up to approximately 20 pounds. Regular, in\-person attendance during scheduled business hours is essential to ensure the office is opened and closed appropriately and that daily patient flow and front\-office operations run smoothly. Pay: From $16\.50 per hour Work Location: In person
