Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi\-line phone systems to handle inquiries efficiently while providing excellent customer service. Maintain organized filing systems, both physical and digital, ensuring confidentiality of sensitive information. Assist with bookkeeping tasks using QuickBooks, including data entry, invoicing, and expense tracking. Support calendar management and scheduling for executives or team members, coordinating meetings and appointments seamlessly. Prepare correspondence, proofread documents for accuracy, and perform general clerical duties such as photocopying and faxing. Utilize Microsoft Office and Google Workspace tools to create reports, presentations, and spreadsheets that support office functions. Handle office supplies inventory management and coordinate with vendors as needed to maintain a well\-stocked workspace. Provide administrative assistance with personal tasks or projects as required by team members or leadership. Experience Proven office management or administrative experience in a fast\-paced environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools. Experience using QuickBooks for bookkeeping or financial recordkeeping is highly desirable. Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Bilingual abilities are a plus to support diverse client interactions and team communication. Demonstrated customer service skills with a professional demeanor in phone communication and client interactions. Familiarity with clerical responsibilities such as filing, proofreading, calendar management, and handling confidential information responsibly.
