The Administrative Clerk provides administrative and operational support to ensure the efficient day\-to\-day functioning of the organization. This position is responsible for managing office operations, maintaining records, preparing documents, scheduling meetings, handling correspondence, and providing excellent customer service to participants, staff, partners, and visitors. The Administrative Clerk supports program staff by organizing files, processing data, assisting with reports, and ensuring compliance with organizational policies and grant documentation requirements. This role plays a critical part in maintaining accurate records and promoting efficient program operations. Key Responsibilities: Perform general administrative and clerical duties, including filing, data entry, copying, scanning, and document preparation. Answer phones, respond to emails, greet visitors, and provide professional customer service. Maintain participant files, organizational records, and confidential documentation in accordance with organizational policies. Schedule meetings, appointments, trainings, and community events. Assist with preparing reports, correspondence, meeting agendas, and presentation materials. Support program staff with participant enrollment, attendance tracking, and database management. Order and maintain office supplies and coordinate equipment needs. Assist with processing invoices, expense reports, and other administrative paperwork. Maintain electronic and physical filing systems to ensure accurate recordkeeping. Support grant compliance by organizing required documentation and assisting with administrative reporting. Perform additional administrative duties as assigned to support organizational operations. Qualifications: High school diploma or equivalent required; Associate's degree in Business Administration, Office Administration, or a related field preferred. Minimum of 1–2 years of administrative or clerical experience, preferably in a nonprofit, educational, or community\-based organization. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace. Strong organizational, time management, and multitasking skills. Excellent written and verbal communication skills. Ability to maintain confidentiality and handle sensitive information with professionalism. Strong attention to detail and accuracy in recordkeeping and data entry. Ability to work independently and collaboratively in a fast\-paced, mission\-driven environment. This position is well\-suited for organizations like Development and Enrichment Project (DEP), where the Administrative Clerk supports workforce development, youth enrichment, STEM education, violence prevention, and community outreach programs by ensuring efficient administrative operations and maintaining accurate program records.
