Overview: The Program Administrator (PA) plays a critical role in managing the administrative functions of the Huntington Learning Center, supporting both the educational and operational aspects. This part\-time role (15\-25 hours per week) ensures smooth day\-to\-day functioning while optimizing scheduling, teacher\-student ratios, and administrative processes, allowing the Center Director to focus on student outcomes and overall center growth. Key Responsibilities: Front Office \& Administrative Management (Primary Function): Manage front office operations, including greeting students and parents, handling inquiries, and maintaining a professional, organized environment. Serve as the primary point of contact for student and parent inquiries, ensuring a high level of customer service. Operations \& Payroll Management: Onboard each student during their first session and as needed, ensuring they are properly oriented into the center’s programs. Create and maintain student and teacher schedules, anticipating teacher needs and optimizing teacher\-student ratios to minimize payroll costs. Perform payroll functions, including daily time sheet maintenance, calculation of payroll hours, and submission for approval by the Center Director. Monitor inventory levels and communicate needs to the Center Director. Educational Administrative Tasks: Perform educational administrative tasks such as administering, correcting, and documenting tests and student conferences. Conduct initial inquiries, consultations, intakes, and student interim conferences. Be knowledgeable in all Teacher Supervisor job functions and capable of performing those tasks as needed. Customer Service \& Consultations: Conduct parent consultations, ensuring clear communication about student progress and center programs. Address and resolve parent inquiries, scheduling follow\-ups when necessary. Project \& Event Management: Assist in organizing center events like open houses, workshops, and parent meetings. Support special projects aimed at enhancing student learning experiences and center efficiency. Administrative Functions: Perform billing, attendance tracking, and data entry, ensuring that financial and student records are accurate and up\-to\-date. Manage monthly billing, maintain attendance records, and keep financial data organized. Work Schedule: This part\-time position requires 15\-25 hours per week, typically working from 9 AM to 3 PM, with flexibility based on center needs. Qualifications: Bachelor’s degree required. Proven experience as an Administrative Assistant, Program Administrator, or similar role. Strong organizational and multitasking skills with attention to detail. Proficiency in Microsoft Office Suite, Google Workspace, and CRM systems. Ability to manage sensitive information with confidentiality. A proactive, problem\-solving attitude with the ability to take initiative. Preferred Skills: Experience in an educational setting or working with students and parents. Familiarity with Huntington Learning Center operations or similar educational programs. Strong ability to manage parent relations and coordinate scheduling. Compensation: $1,500 to $2,000 per month.
