Sales Operations Assistant Location: Remote (U.S.) – Los Angeles Area Preferred About the Role Kickoff USA is seeking a highly organized, proactive, and customer\-focused Sales Operations Assistant to support the day\-to\-day sales operations, wholesale operations, and customer service activities for its premium apparel and fashion brands, including Sundek, Erika Cavallini, and Liviana Conti, across the U.S. market. This hands\-on role combines sales support, order management, wholesale operations, retail administration, accounts receivable support, inventory coordination, and general operational assistance. Working closely with the Sales, Finance, warehouse, showroom, and retail teams, you will help ensure exceptional customer service while supporting the daily operations of a growing apparel business. You will assist with customer order processing, maintaining customer accounts and product information in Apparel Magic and NuORDER, coordinating inventory movements, supporting Hilldun credit approvals and collections, preparing sales reports, assisting with showroom and trade show activities, and providing operational support across multiple departments. Key Responsibilities Sales Support \& Wholesale Operations Assist with customer order processing, invoices, shipping requests, and order updates using Apparel Magic and NuORDER. Maintain accurate customer, pricing, inventory, and order management records. Respond promptly to customer inquiries via phone and email while providing exceptional customer service. Assist customers with order status, inventory availability, shipments, delivery updates, and product information. Process return authorizations and coordinate wholesale returns. Support wholesale accounts with daily requests, follow\-up, and account maintenance. Prepare sales reports, inventory reports, and operational reports for the sales team. Coordinate sample shipments and provide operational support to showroom partners during seasonal markets. Support trade show preparation, customer follow\-up, and wholesale order processing. Accounts Receivable \& Credit Support Assist with accounts receivable activities by monitoring outstanding customer balances and payment status. Support the day\-to\-day administration of our relationship with Hilldun. Coordinate Hilldun credit approvals by uploading invoices, monitoring credit requests, and communicating approvals or issues to customers and internal teams. Support customer collections by following up on outstanding invoices and coordinating with customers, Hilldun, and the Finance team. Maintain accurate customer credit records and account information. Retail Operations Coordinate inventory transfers between the warehouse and retail store. Assist with preparing weekly retail schedules. Review employee timecards for payroll accuracy. Process damaged merchandise returns. Order store and office supplies. Prepare and submit monthly sales reports to mall management. Provide administrative and operational support to the retail team. Administrative Support Maintain organized operational records, reports, and documentation. Perform data entry and maintain accurate information across multiple business systems. Coordinate with warehouse, logistics, finance, showroom, sales, and retail partners to ensure efficient operations. Support management with special projects, process improvements, and cross\-functional initiatives. Qualifications 2\+ years of experience in sales operations, sales support, customer service, wholesale operations, retail operations, order management, or a similar role. Experience in the apparel, fashion, footwear, or consumer goods industry is preferred. Excellent communication and interpersonal skills with a strong customer service mindset. Strong organizational skills with exceptional attention to detail. Ability to prioritize multiple responsibilities and meet deadlines in a fast\-paced environment. Advanced proficiency with Microsoft Office, particularly Excel. Experience with Apparel Magic ERP and NuORDER is highly preferred. Experience with ERP, CRM, inventory management, wholesale order management, or business management systems is a plus. Experience supporting accounts receivable, customer credit, collections, or billing is preferred. Self\-motivated, resourceful, and comfortable working independently while collaborating with a cross\-functional team. Work Environment This is a fully remote position. Candidates based in the Los Angeles area are strongly preferred, as occasional in\-person meetings, training, and team collaboration may be required. Limited travel may be required to support trade shows, seasonal showroom activities in New York and Chicago, and occasional visits to our Miami retail store.
