We are two small, client\-focused estate planning/probate and family law firms in the North End of Tacoma seeking an organized, dependable, and personable Receptionist / Administrative Assistant to join our teams. This position plays an extremely important role in our offices. You will often be the first person our clients speak with or see when they contact our firms, and we are looking for someone who genuinely enjoys helping people, staying organized, creating a welcoming environment, and keeping things running smoothly behind the scenes. Our office environment is professional but friendly, fast\-paced at times, and highly team\-oriented. We are looking for someone who is proactive, detail\-oriented, dependable, calm under pressure, and takes pride in doing things well. Primary Responsibilities: Answer incoming phone calls professionally and warmly Respond to email and website inquiries from prospective and existing clients Schedule and coordinate client appointments while maintaining accurate attorney calendars Reserve and prepare conference rooms for meetings and signings Send appointment confirmations and communicate with clients regarding scheduling logistics Greet clients and visitors and ensure they feel welcomed and comfortable in the office Prepare coffee, water, and refreshments for clients as appropriate Assist attorneys and paralegals in preparing for appointments and meetings Open, organize, scan, and maintain client files and documents Process incoming and outgoing mail and deliveries Process client payments and assist with administrative billing tasks Draft and send general correspondence and administrative communications Maintain clean, organized conference rooms, reception areas, kitchen spaces, and common areas throughout the day Monitor and maintain office and kitchen supplies and coordinate ordering when inventory is low Help maintain a professional, organized, and efficient office environment Assist with additional administrative and office support tasks as needed Qualifications: 2\+ years of recent receptionist, administrative assistant, customer service, or office experience preferred Strong organizational skills and exceptional attention to detail Excellent written and verbal communication skills Comfortable using office technology, including Microsoft Office and Adobe Ability to multitask and prioritize effectively in a busy office environment Ability to work independently while also being a supportive team member Professional, dependable, and personable demeanor Strong attendance and reliability are essential Comfortable interacting with clients during stressful or emotional life situations with empathy and professionalism Accurate typing and data entry skills Positive attitude and willingness to help wherever needed The Ideal Candidate: The ideal person for this role is someone who notices what needs to be done before being asked, enjoys keeping things organized, communicates well with both clients and coworkers, and takes pride in helping create a calm, welcoming experience for everyone who contacts our office. Experience in a law office is helpful but not required for the right candidate.
