Administrative Assistant Location: Raleigh, NC Company: Window Depot of Raleigh Reports To: General Manager and Company Directors Employment Type: Full\-Time Position Summary Window Depot of Raleigh is seeking a highly organized, detail\-oriented, and proactive Administrative Assistant to support our General Manager, Directors, and leadership team. This role is critical to the daily operation of the business and serves as the organizational backbone of the office. The Administrative Assistant serves as the administrative and organizational hub of Window Depot of Raleigh. This position is responsible for maintaining office organization, supporting leadership initiatives, coordinating administrative processes, managing company records, preparing reports, assisting with payroll administration, maintaining office cleanliness and presentation standards, and ensuring day\-to\-day business operations run efficiently. This role requires a highly organized, detail\-oriented individual who takes ownership of tasks, follows through on commitments, anticipates needs, and helps create structure, accountability, and consistency throughout the organization. Primary Responsibilities Leadership \& Executive Support Provide direct administrative support to the General Manager and Company Directors. Manage calendars, appointments, reminders, and scheduling requests. Prepare meeting agendas, meeting notes, and action item follow\-up documentation. Track leadership commitments, deadlines, and outstanding tasks to help ensure accountability and completion. Coordinate travel, lodging, registrations, and logistics for company events when required. Assist leadership with special projects and strategic initiatives. Encourage and maintain the organization accountable to EOS Maintain organized digital and physical filing systems. Data Entry, Records Management \& Reporting Enter, maintain, verify, and retrieve information from company systems accurately and timely. Maintain organized electronic and physical filing systems. Prepare daily, weekly, and monthly operational reports. Compile sales, production, payroll, and administrative reporting as requested. Audit information for completeness and accuracy. Document SOPs, job descriptions, process and procedure manuals professionally in an accessible, organized manner for the Department Directors Assist leadership in maintaining key performance indicator (KPI) reporting and tracking. Payroll Administration Collect, verify, and organize payroll information from all departments. Prepare payroll reports and supporting documentation for processing. Track employee time records, commissions, bonuses, and payroll\-related documentation. Maintain employee administrative files and records. Ensure confidentiality of employee and company information at all times. Office Operations \& Administration Serve as the primary coordinator of administrative office functions. Answer and direct incoming communications professionally. Manage social media presence, photo/video company needs, and additional management of media/digital brand representation. Monitor office workflows and administrative processes. Coordinate administrative support across departments. Assist in creating and maintaining standard operating procedures and process documentation. Identify inefficiencies and recommend process improvements. Purchasing \& Ordering ● Manage inventory levels for office supplies, kitchen supplies, and administrative materials. ● Order office supplies, equipment, uniforms, refreshments, and other approved purchases. ● Maintain vendor relationships and coordinate deliveries. ● Ensure supplies remain stocked and available without interruption. ● Track purchasing activity and maintain accurate records. Office Cleanliness \& Workplace Presentation Maintain a professional, clean, organized, and welcoming office environment. Conduct regular inspections of: ○ Reception areas ○ Conference rooms ○ Leadership offices ○ Break rooms ○ Shared workspaces ○ Restrooms (appearance and supply levels) Coordinate cleaning schedules and communicate with janitorial vendors as necessary. Ensure office furniture, supplies, and common areas remain orderly and presentable. Monitor and replenish restroom, kitchen, and hospitality supplies. Support a culture of workplace pride, professionalism, and organization. Accountability \& Process Management Track project deadlines and administrative action items. Follow up with team members on outstanding requests and commitments. Assist leadership in ensuring departmental accountability. Maintain organizational systems that improve communication and execution. Document recurring processes and administrative workflows. Support continuous improvement efforts throughout the organization. Culture \& Employee Support Assist with employee onboarding and administrative orientation. Coordinate employee recognition, celebrations, meetings, and company events. Help maintain a positive, professional, and team\-oriented office culture. Support leadership initiatives that improve employee engagement and communication. Additional Duties Provide support to Sales, Production, Operations, Finance, and Leadership teams as needed. Assist with special projects and business initiatives. Perform additional duties as assigned by the General Manager or Directors. Qualifications Required High School Diploma or equivalent. Minimum 2 years of administrative, office management, executive assistant, or related experience. Full time availability: Monday\-Friday. Proficiency with Microsoft Office Suite and Google Workspace. Well versed in computer applications, technical abilities, social media, phone/SMS usage, and other digital management tools. Strong written and verbal communication skills. Excellent organizational and time management abilities. Ability to manage multiple priorities simultaneously. Capable and comfortable with self\-learning and tackling administrative tasks without assistance Professional demeanor and presentation. Ability to handle confidential information with discretion. Preferred Experience supporting executive leadership. Payroll administration experience. Experience with CRM and business management software. Construction, home improvement, or service industry experience.
