Job Description ------------------- POSITION OBJECTIVE Working closely with all members of the Physician Assistant (PA) program administrative team, faculty, and students, the Academic Affairs Manager is responsible for all didactic administrative functions for the PA program and shares a leadership role in the development and growth of this graduate program. This position serves as the primary support for the Director of Didactic Curriculum, both in the logistical management of activities and analysis of the curriculum, student performance, and instructor performance. The academic affairs manager will work on the execution and evaluation of assessment and simulation and provide a summary analysis (in addition to detailed methods). ESSENTIAL FUNCTIONS Provide oversight and coordination of all aspects of the 15\-month didactic curriculum, including instruction, assessment, and simulation. This includes didactic course scheduling, room scheduling, adjunct faculty coordination, and coordination of assessment of the didactic curriculum. Organize and manage all instructional materials specific to each course. Assist with the review and evaluation of assessment effectiveness. Schedule and onboard adjunct faculty and proctors for exams, simulations, and clinical skills assessments (OSCEs). Working within ExamSoft, post, print, and proctor assessments. Maintain adjunct faculty database to include list of instructors, CVs, and up\-to\-date medical licenses to ensure program compliance with accreditation standards. Coordinate all aspects of adjunct faculty teaching including reminders, obtaining course materials, day\-of logistics, and post\-session follow\-up. Make changes to courses (instructors, times and places) as needed. (50%) Develop, maintain, and track all program evaluations. Compile and evaluate survey data and present recommendations for improvement to program director or other committee leads. Monitor the academic progress of students and help identify those who may be in academic or programmatic difficulty. Maintain student academic data in a way that allows faculty to efficiently identify at\-risk students. Metrics include accreditation requirements, recruitment, enrollment reporting, outcome goals, and research requests. Work closely with the program leadership to identify best practices in data collection and assessment of the program to ensure evidence\-based decisions are made regarding program curriculum. (25%) NONESSENTIAL FUNCTIONS Build networks with other PA program admissions administrators to develop best practices in admissions. Attend and participate in/present at regional and national PA education meetings. Build relationships with historically Black colleges and universities (HBCUs) to increase awareness of the PA profession as a career option and to broaden representation within the program. Collaborate with external relations on donor opportunities that can benefit the PA program. Participate in community health meetings to assess and develop areas for collaboration, such as gatherings that bring together various community organizations to design initiatives that improve community health. Explore opportunities to increase and enhance the program¿s experiential learning and community service opportunities. (5%) Develop a strong pipeline of applicants by assisting in marketing the program to Pre\-PA clubs and prospective applicants by participating in tours, information sessions (in\-person and virtual), and special events. (5%) Develop and cultivate relationships with community partners. Participate in community service and experiential learning opportunities to encourage, assess, and build areas for collaboration with the goal of ensuring a quality experience for PA students. (5%) Use the PeopleSoft Student Information System (SIS) to track and verify student enrollment and academic status. Manage student accounts in SIS, including financial activity, course registration, grades and Planned Programs of Study (PPOS). Act as the PA Program resource to faculty, staff, and students for training with SIS. Resolve all student issues in a timely manner with limited supervision. Coordinate grade entry for both didactic courses and clinical year rotations in SIS. Manage graduate student payroll. (5%) Provide support for the maintenance of accreditation. (1%) Provide support to the PA Program Committees. (1%) Provide other educational programs/departmental support as needed. Cross\-training with the administrative team in general and the administrative director, particularly for peak periods and vacation schedules. (1%) Manage the administrative and financial aspects of all program grants electronically in the appropriate databases (e.g., eRA Commons, etc.). Report and record progress reports. (1%) Perform other duties as assigned. (1%) CONTACTS Department: Daily contact with the program director, administrative director, director of didactic curriculum, director of clinical curriculum, full\-time program faculty and the administrative team to maintain workflow. Ongoing contact with instructional faculty engaged in the graduate program. Regular contact with leadership, faculty, and staff in Medical Education. University: Frequent contact with School of Medicine staff, UTech, University Health and Counseling Services, security, and facilities personnel, among others, for the purpose of managing special projects. Frequent contact with the School of Medicine Registrar's office and School of Medicine Financial Aid office for course and student management. External: Frequent contact with friends of the PA Program for community partnerships, clinical site development, and employment opportunities. Occasional contact with national professional organizations, clinical partners, consultants, freelancers, public and private foundations, and other outside agencies for developing strategic partnerships. Students: Daily contact with current students. Regular, ongoing interaction with those individuals seeking program admissions information to recruit, admit, retain, inform and advise. Regular interaction with alumni. SUPERVISORY RESPONSIBILITIES May supervise student workers. QUALIFICATIONS Bachelor's degree and 1 year of related experience or High School education and 6 years of related experience in a health care or academic medicine setting preferred. Knowledge of curriculum development and administrative needs of higher education programs. Knowledge and understanding of accreditation requirements. Must have excellent computer skills and proficiency with the Microsoft Office Suite, Google Suite. Experience with data warehouse, student information system (SIS), Zoom, Canvas, ExamSoft, eCommons, Fastlane and Grants.gov is preferred. PeopleSoft experience is a plus. * Ability to learn and apply software programs and applications as needed. WORKING CONDITIONS Typical general office working environment. The employee will use a computer and a shared printer/copier. Additional time may be needed during deadlines, but only on occasion. Occasionally may need to perform work at home with a working internet. Flexibility is needed for deadlines and extenuating circumstances. This position is eligible for the staff hybrid work program.
