Overview We are seeking a dynamic and highly organized Operations \& Administrative Assistant to join our team! This role is vital in ensuring the smooth daily operations of our office environment, providing exceptional administrative support, and maintaining efficient office management. The ideal candidate will be energetic, detail\-oriented, and possess excellent communication skills, ready to contribute to a vibrant workplace. Your proactive approach will help keep our office running seamlessly while delivering outstanding customer service and support to internal teams and visitors alike. Duties Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth Operate multi\-line phone systems, answer inquiries, direct calls efficiently, and take detailed messages Oversee office management tasks including supply inventory, filing systems, and equipment maintenance Perform data entry and bookkeeping using QuickBooks to ensure accurate financial records and transactions Coordinate calendar management and schedule appointments for team members and executives Handle clerical tasks such as proofreading documents, organizing files, and maintaining records Provide exceptional customer support through clear communication, timely responses, and courteous service Support personal assistant duties including travel arrangements, meeting preparations, and task prioritization Skills Proficiency in QuickBooks for bookkeeping and financial recordkeeping Strong computer skills with expertise in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment Bilingual abilities are highly valued to assist diverse client needs and enhance communication Demonstrated office management experience with familiarity in clerical tasks such as filing, data entry, and proofreading Exceptional phone etiquette with experience managing multi\-line phone systems and providing customer support Strong time management skills with the ability to prioritize tasks efficiently while maintaining attention to detail Proven experience in office or administrative roles with excellent organizational and typing skills Join us in a role where your energy makes a difference!
