Your Responsibilities Position Summary

The Administrative Assistant – Corporate Office provides high\-level administrative and operational support within the corporate office, reporting directly to the Executive Administrator/Office Manager. This role supports the President of the Company while also serving as a key resource across multiple departments and business units.

This position plays a critical role in ensuring seamless executive support, accurate administrative reporting, and efficient coordination across systems and processes. The ideal candidate is highly organized, detail\-oriented, and capable of managing multiple priorities in a fast\-paced corporate environment.

Essential Duties \& Responsibilities

  • Executive \& Calendar Management
  • + Provide direct administrative support to the President, including complex calendar management and prioritization

    + Coordinate meetings, leadership sessions, and executive\-level engagements

    + Anticipate scheduling conflicts and proactively resolve them

    + Maintain strict confidentiality when handling sensitive information

  • Systems \& Administrative Reporting
  • + Accurately report and track work hours using internal systems (e.g., Panda or equivalent tools)

    + Utilize Workforce Management (WFM) systems to support reporting of hires, terminations, and employee updates

    + Maintain and update administrative records to ensure data accuracy and compliance

    + Support reporting needs across departments by gathering and organizing relevant data

  • Travel \& Logistics Coordination
  • + Coordinate business travel arrangements using corporate travel platforms (e.g., Egencia or similar tools)

    + Manage itineraries, bookings, and travel\-related documentation for executives and leadership

    + Support logistics for internal and external meetings, including room setup, materials, and coordination

  • Office \& Operational Support
  • + Partner with the Executive Administrator/Office Manager to maintain smooth office operations

    + Manage office supply inventory and vendor coordination

    + Assist with onboarding logistics, including workspace setup and coordination of resources

    + Support corporate events, meetings, and leadership offsites

  • Cross\-Functional \& Departmental Support
  • + Provide administrative support to multiple departments and business units as needed

    + Assist with project coordination, including tracking timelines and deliverables

    + Act as a liaison between leadership, departments, and external partners

    + Support document preparation, presentations, and communications across functions

  • Communication \& Coordination
  • + Serve as a point of contact for internal and external stakeholders

    + Screen and route communications appropriately (email, calls, visitors)

    + Draft and distribute professional communications on behalf of leadership

    Your Profile Education \& Experience

  • Associate’s or Bachelor’s degree preferred
  • 3\+ years of administrative experience in a corporate environment
  • Experience supporting executive\-level leadership strongly preferred
  • Knowledge, Skills \& Abilities (Required)

  • Strong organizational and multitasking abilities
  • High attention to detail and accuracy, particularly in data entry and reporting systems
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Experience with administrative and workforce systems (e.g., Panda, WFM, Egencia or similar platforms)
  • Ability to handle confidential information with discretion
  • Knowledge, Skills \& Abilities (Preferred)

  • Experience in a multi\-entity or matrixed organization
  • Strong systems orientation and comfort working across multiple platforms
  • Proactive mindset with the ability to anticipate needs
  • High level of adaptability in a dynamic corporate setting
  • Work Environment
