We are seeking a dynamic and highly organized Administrator to join our team! Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi\-line phone systems efficiently, handling inquiries and routing calls accurately.
- Maintain organized filing systems, including digital records using Google Workspace and Microsoft Office tools.
- Perform data entry tasks with precision, including updating databases, processing invoices, and managing client records using QuickBooks or similar accounting software.
- Coordinate calendar management and scheduling for staff appointments, meetings, and appointments with personal assistant experience preferred.
- Support office management tasks such as ordering supplies, maintaining equipment, and overseeing general administrative procedures.
- Assist with proofreading documents, preparing reports, and ensuring all correspondence is clear, accurate, and professional.
- Provide excellent customer support by addressing inquiries promptly and professionally in person or via phone or email.
- Conduct clerical duties such as filing, photocopying, scanning documents, and managing incoming/outgoing mail.
- Support bookkeeping activities including basic bookkeeping tasks to ensure accurate financial records.
- Proven office experience with strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with data entry, filing systems, proofing documents, and managing calendars.
- Excellent computer literacy including familiarity with office management software like QuickBooks.
- Strong customer service skills with the ability to handle phone calls professionally using proper phone etiquette.
- Bilingual abilities are a plus to serve diverse clients effectively.
- Prior experience in medical or dental receptionist roles is advantageous but not required.
- Demonstrated ability to manage multiple tasks efficiently while maintaining accuracy under pressure.
- Knowledge of clerical procedures such as proofreading, filing, and record keeping is essential.
