Overview
We are seeking a dynamic and organized Office Assistant with sales experience to join our team! This role is vital in ensuring the smooth operation of our office environment while actively supporting sales initiatives. The ideal candidate will be energetic, detail\-oriented, and possess excellent communication skills, both bilingual and monolingual candidates are encouraged to apply. You will be the first point of contact for visitors and clients, manage administrative tasks efficiently, and contribute to a positive, professional atmosphere that drives business growth.
Duties
- Greet visitors, answer multi\-line phone systems with professionalism, and direct calls appropriately using excellent phone etiquette
- Manage front desk responsibilities including scheduling appointments, handling mail, and maintaining a welcoming environment
- Support sales activities by assisting with customer inquiries, data entry, and follow\-up communications
- Maintain accurate records through filing, proofreading documents, and managing office supplies using organizational skills
- Utilize computer skills including Microsoft Office, Google Workspace, QuickBooks, and data entry to support daily operations and bookkeeping tasks
- Assist with office management tasks such as calendar management, appointment setting, and personal assistant duties as needed
- Provide exceptional customer support by addressing client needs promptly and courteously while ensuring high levels of customer service
- Proven office experience with clerical and administrative responsibilities in a professional setting
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment
- Bilingual abilities are highly desirable to serve diverse client needs
- Knowledge of multi\-line phone systems and phone etiquette to handle inquiries efficiently
- Strong typing skills along with attention to detail for proofreading and data entry tasks
- Previous experience in sales support or customer service roles is a plus
- Ability to manage time effectively and prioritize tasks independently
