Part\-Time Practice Coordinator
We are a small, specialized women's health practice focused on complex gynecology, pelvic pain, and menopause care. Clinical care is fully covered — this role keeps the administrative and coordination side of one clinician’s practice organized, responsive, and moving forward.
This is not a purely administrative job. Over time, you will build real working knowledge of gynecologic and pelvic pain conditions, how treatments are sequenced, and why certain requests are urgent. That understanding is what allows you to coordinate care effectively — anticipating needs, recognizing when something can't wait, and acting on it. We'll support that learning, but you need to come in genuinely interested in the medicine behind the work, not just the process.
This is a part\-time position suited to someone who takes ownership of systems and works well independently. Physical office is Friendship Heights across the street from the metro.
What you'll be responsible for
- Managing patient portal messages — triaging, responding when appropriate, and escalating when needed
- Ensuring charges are completed accurately and on time
- Coordinating medication orders, refill workflows, imaging, and lab requests through to completion
- Completing prior authorizations and managing insurance communication
- Identifying and resolving delays before they require repeated follow\-up
- Consistently organized with strong follow\-through — you finish things fully, not partially
- A clear, concise written communicator
- Comfortable navigating EHRs, scheduling platforms, and patient messaging systems
- Able to prioritize and manage multiple tasks without direction
- At ease working independently in a remote or hybrid setting
- Curious and motivated to understand the clinical context behind the work you're coordinating
- The clinician’s inbox stays manageable
- Charges, medications, imaging, and labs move forward without delays
- Prior authorizations and insurance issues are resolved efficiently
- Patients don't need to follow up twice to get things done
- Not a clinical or medical assistant position
- Not patient\-facing clinical care
- Not managing the full office
