Overview
We are seeking a highly organized and proactive Personal Assistant to support executive leadership within our organization. Duties
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
- Coordinate and organize various projects, ensuring deadlines are met through effective communication and task prioritization.
- Handle all aspects of office management, including filing, data entry, and maintaining organized records both digitally and physically.
- Provide executive administrative support such as proofreading documents, transcribing audio recordings, and preparing correspondence.
- Assist with event planning for company functions or client meetings, including logistics coordination and vendor communication.
- Manage incoming calls using multi\-line phone systems with professional phone etiquette; direct inquiries appropriately.
- Support bookkeeping tasks utilizing QuickBooks or similar software; perform basic bookkeeping and clerical data entry.
- Facilitate document signing processes through platforms like DocuSign; ensure timely completion of administrative paperwork.
- Perform front desk duties when necessary, welcoming visitors and handling general inquiries with professionalism.
- Maintain confidentiality of sensitive information while providing exceptional customer service to internal teams and external contacts.
- Proven experience as a Personal Assistant or in an administrative role, preferably supporting executives or senior management.
- Demonstrated proficiency in office management tools such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and Microsoft Outlook Calendar.
- Strong organizational skills with the ability to multitask effectively in a fast\-paced environment.
- Excellent typing speed along with transcription and proofreading capabilities.
- Familiarity with bookkeeping software like QuickBooks and basic accounting principles.
- Exceptional communication skills, including phone etiquette and professional interpersonal interactions.
- Experience handling project coordination, event planning, data entry, filing systems, and clerical tasks.
- Knowledge of office procedures including front desk operations, data management systems, and document signing platforms such as DocuSign.
- Ability to adapt quickly to new technologies and maintain a high level of accuracy in all tasks.
