We are seeking a dynamic and friendly Front Desk Associate to be the welcoming face of our organization. Duties

  • Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere
  • Manage multi\-line phone systems, directing calls accurately and courteously while providing excellent customer support
  • Handle all front desk responsibilities including check\-ins, appointment scheduling, and visitor sign\-in procedures
  • Maintain organized filing systems, data entry records, and manage correspondence efficiently using Microsoft Office and Google Workspace tools
  • Support office management tasks such as calendar management, appointment setting, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties including proofreading documents, managing incoming/outgoing mail, and maintaining office supplies inventory
  • Provide bilingual support as needed to serve diverse client and staff needs effectively
  • Skills

  • Proven experience in office management or administrative roles with strong organizational skills
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Familiarity with multi\-line phone systems, phone etiquette, and customer service best practices
  • Experience with QuickBooks or bookkeeping software is a plus for handling basic financial records
  • Ability to manage time effectively in a fast\-paced environment while prioritizing tasks efficiently
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous
  • Bilingual capabilities to communicate fluently in more than one language are highly valued
  • Knowledge of office equipment operation such as fax machines, scanners, and printers is beneficial
