The Hotel Group, an affiliate of Hotel Equities, is seeking a highly capable, detail\-oriented Executive Assistant in Edmonds, WA who thrives in a fast\-paced, relationship\-driven environment. This role goes beyond traditional administrative support—serving as a trusted partner to the CEO and CFO and helping advance strategic initiatives, culture\-building efforts, property asset management, business development, and investor engagement.
The ideal candidate is an exceptional communicator with strong hospitality instincts and outstanding organizational precision, paired with a proactive mindset and the ability to anticipate needs before they arise. This role primarily supports the CEO, with additional support to the CFO on select finance and accounting priorities.
This individual will serve as a connection point across our organization, helping ensure alignment between internal teams, ownership groups, and our enterprise affiliate partner. Experience in hospitality, hotel management, or commercial real estate is highly valued.
This position offers a flexible hybrid schedule, combining in\-office collaboration with remote work. Candidates must be based in or near Edmonds, WA. While core hours align with a standard business day, occasional evening and weekend availability is required.
Key Responsibilities
Executive Support
- Manage the CEO’s complex calendar, ensuring optimal prioritization of meetings, travel, and strategic commitments.
- Provide thoughtful email management, drafting communications and help prioritize incoming correspondence.
- Prepare briefing materials, agendas, and follow\-ups for meetings with investors, owners, partners, and leadership teams.
- Coordinate travel arrangements and itineraries for executive engagements.
- Assist in advancing key initiatives between the CEO, CFO, and other leadership team members.
- Help track and coordinate enterprise initiatives with our affiliated hospitality brand partner.
- Support leadership meetings, board interactions, and internal strategy sessions with preparation and follow\-up.
- Assist with communications and materials for hotel ownership partners and investors.
- Coordinate investor updates, meeting logistics, and presentation materials.
- Help maintain high\-touch relationships reflective of our hospitality\-driven culture.
- Support company culture initiatives, leadership events, and internal engagement programs.
- Assist with communications and planning for leadership conferences, retreats, and company gatherings.
- Serve as an ambassador of our servant leadership culture, helping reinforce our values throughout the organization.
- Maintain high standards of organization, documentation, and communication across executive activities.
- Help manage special projects across departments assigned by the CEO.
- Identify opportunities to improve internal processes and efficiency.
- Utilize modern productivity tools and platforms to streamline executive workflows.
- Demonstrate curiosity and initiative in exploring AI and emerging technologies that can improve efficiency, organization, and communication within the company.
- 5\+ years supporting senior executives or leadership teams
- Experience in hospitality, hotel management, or commercial real estate strongly preferred
- Prior experience interacting with investors, ownership groups, or board\-level stakeholders is a plus
- Exceptional written and verbal communication skills
- High level of discretion, professionalism, and judgment
- Strong organizational ability with meticulous attention to detail
- Ability to anticipate needs and proactively solve problems
