As we scale our Rhode Island operations, we are seeking a detail\-oriented and process\-driven Part\-Time Accountant to support financial operations, compliance, and administrative coordination.
Position Overview
The Part\-Time Accountant will support core accounting functions including accounts receivable, accounts payable, reconciliation, purchasing controls, and administrative support. This role is ideal for someone who thrives in a growing, high\-accountability environment and values strong internal controls.
Key Responsibilities
Accounts Receivable (AR)
- Manage accounts receivable including collecting on overdue accounts
- Follow up on delinquent accounts via telephone, email, and mail
- Notify customers of insufficient or partial payments
- Ensure compliance with agreed payment plans
- Generate client invoices and track milestone billing
- Process daily bank deposits using an automated system
- Reconcile AR ledger to general ledger
- Review vendor invoices for accuracy and completeness
- Verify vendor invoices against purchase orders
- Resolve discrepancies with vendors and internal teams
- Prepare accounts payable documents and forms for payment
- Verify and process employee expense reports
- Prepare checks for signature and manage payment runs
- Maintain accurate vendor files and documentation
- Follow internal controls and company purchasing policies
- Enter and distribute purchase orders for goods and services
- Ensure company purchasing guidelines are observed
- Maintain organized PO records
- Support procurement tracking and cost coding
- Perform monthly bank and credit card reconciliations
- Investigate discrepancies and resolve variances
- Reconcile intercompany transactions (US/UK entities where applicable)
- Support month\-end close processes
- Assist with management reporting and cash flow tracking
- Coordinate payroll inputs (via ADP or equivalent system)
- Support 1099 tracking and documentation
- Assist with audit preparation and documentation
- Maintain financial records in compliance with internal and external standards
- Provide telephone coverage when required
- Process incoming and outgoing mail
- Assist with clerical and administrative tasks as needed
- Support general office operations during peak periods
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field
- 3\+ years of accounting experience (SME/startup environment preferred)
- Strong working knowledge of accounting systems (QuickBooks, Xero, Sage, or similar)
- Proficiency in Excel (pivot tables, reconciliations, lookup functions)
- Strong attention to detail and organizational skills
- Ability to handle confidential information with discretion
- Experience with multi\-entity or international operations (US/UK)
- Familiarity with grant accounting or government contracts
- Experience in engineering, maritime, or technology sectors
- Veteran or military family background encouraged
