Operations Coordinator

About the Role
As our Operations Coordinator, you will play a key role in keeping our daily operations running smoothly. You’ll be the behind\-the\-scenes support that ensures our clients feel cared for, our team feels supported, and every detail is handled with consistency and care.
This is a part\-time position with room to grow as the business grows.
What You’ll Be Responsible For \-Client Communication \& Experience
- Respond to client emails, calls, and messages in a timely, warm, and professional manner
- Support current clients with scheduling updates, questions, and concerns
- Guide new client inquiries and help them feel confident moving forward with services
- Manage daily schedule changes and updates
- Ensure visits are properly assigned and completed
- Keep client and pet profiles accurate and up to date in Time To Pet
- Communicate clearly with pet sitters regarding schedule changes and updates
- Support sitters with questions and issue resolution
- Maintain documentation for incidents and important updates
- Assist with invoicing and payments
- Monitor upcoming reservations to ensure accuracy
- Serve as backup support to Team Leads when needed
- Monday–Friday: 9:00am–12:00pm
- Brief additional check\-ins midday and early evening
- Have a home office with a computer, smartphone, and reliable internet
- Be highly organized and detail\-oriented
- Be comfortable learning and using systems and software
- Have strong written and verbal communication skills
- Be able to manage multiple priorities in a fast\-paced environment
- Be proactive, resourceful, and solution\-oriented
- Be comfortable working independently with minimal supervision
- Have a strong sense of accountability and follow\-through
- Be able to consistently follow systems, processes, and checklists
- Live in or near our service area (Tucson and surrounding communities)
- Be able to pass a background check
- Have a genuine love for animals and a commitment to their safety
- Experience in customer service or a service\-based business
- Experience with scheduling software or CRM systems
- Sales or client onboarding experience
- $20–$22 per hour
- Part\-time: 15–20 hours per week (with growth potential)
