Main Responsibilities:
Executive Support
- Manage complex calendars, scheduling meetings across multiple time zones and coordinating with internal and external stakeholders
- Coordinate domestic and international travel arrangements, including logistics for conferences, investigator meetings, and site visits
- Prepare and process expense reports in a timely and accurate manner
- Anticipate the needs of the Head of Early Development I\&I and proactively address issues before they arise
- Handle confidential and sensitive information with the utmost discretion
- Provide administrative support to the I\&I Early Development team, including scheduling, meeting coordination, and logistics
- Organize and coordinate team meetings, off\-sites, and departmental events
- Maintain team distribution lists, organizational charts, and shared resources
- Support onboarding activities for new team members
- Track and follow up on action items from leadership and team meetings
- Manage and track consultancy contracts in collaboration with contracting group
- Support team in managing POs
- Draft, edit, and distribute internal communications on behalf of the Head and the department
- Prepare presentations, reports, and correspondence for internal and external audiences
- Serve as a liaison between the Head of Early Development and internal/external stakeholders
- Manage information flow and ensure timely responses to inquiries
- Support the preparation of materials for governance meetings, leadership reviews, and cross\-functional initiatives
- Maintain organized filing systems and documentation for the department
- Identify opportunities to streamline administrative processes and improve team efficiency
- Partner with other Executive Assistants across R\&D and the organization to ensure alignment and best practice sharing
- Bachelor's degree or equivalent experience
- 5\+ years of administrative experience, preferably supporting senior leaders in a pharmaceutical, biotech, or healthcare environment.
- Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines
- Strong written and verbal communication skills
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
- Experience with travel coordination and expense management systems (e.g., Concur)
- High level of professionalism, discretion, and confidentiality
- Experience in clinical development, R\&D, or a scientific environment
- Familiarity with Workday, SAP, or similar enterprise systems
- Experience supporting global teams across multiple time zones
- Knowledge of pharmaceutical industry terminology and processes
- Familiar with Sanofi internal processes
