The Role
We are looking for an Office Administrator who is the welcoming first voice our clients hear and the organizational engine behind our day\-to\-day operations. This is a front\-of\-house, client\-facing role that is integral to connecting our customers with our team. You are not just answering phones, you are representing who we are.
In this vital role, you will be the backbone of daily office operations, ensuring smooth and efficient functioning across all administrative tasks. Your energetic approach and attention to detail will help foster a productive environment, support team members, and enhance overall office performance. Key Responsibilities
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi\-line phone systems to handle incoming calls efficiently and courteously
- Maintain accurate data entry using tools like QuickBooks, Microsoft Office, and Google Workspace for invoicing, record keeping, and reporting
- Oversee office management tasks such as filing, proofreading documents, calendar management, and scheduling appointments
- Provide exceptional customer service by responding promptly to inquiries and supporting clients or patients in person or via phone
- Support bookkeeping activities including basic bookkeeping tasks and financial record organization
- Assist with personal assistant duties such as calendar coordination, appointment setting, and task prioritization to ensure smooth daily operations
- Be a reliable and positive bridge between our clients and our team throughout the year, especially during our peak spring season.
- Handle additional administrative tasks as needed to support company operations.
- Proficiency in QuickBooks, Microsoft Office (Word, Excel, Outlook), and Google Workspace applications
- Strong organizational skills with the ability to multitask effectively in a fast\-paced environment
- Excellent communication skills with a professional phone manner and strong typing speed
- Bilingual abilities are a plus to serve diverse client needs effectively
- Prior office experience including clerical duties such as filing, data entry, proofreading, and document management
- Knowledge of office management best practices and administrative processes
- Experience in customer service roles such as dental or medical receptionist or personal assistant positions is highly desirable
- Familiarity with multi\-line phone systems, calendar management tools, and basic bookkeeping or bookkeeping software
- Exceptional phone etiquette: Professional, clear, and genuinely warm
- Strong organizational skills with a talent for managing multiple priorities without missing a beat

- Full\-time, in\-person position based in Newtown Square, PA
- Monday through Friday, 7:00 AM – 4:00 PM
- Minimum 40 hours per week with overtime opportunities available
- Saturday availability during spring busy season
