Job Overview

We are a fast\-growing pediatric behavioral health organization in San Antonio, Texas. AnchorPoint Pediatrics offers autism evaluations and psychiatric medication management for children. We are looking for an exceptional individual to serve as both our Executive Assistant and Medical Receptionist — someone who can manage our clinic front desk while supporting our founder across multiple business operations.

This is a high\-trust, high\-impact role that will evolve with the organization. As AnchorPoint grows and a dedicated receptionist is hired, this role will transition fully into an Executive Assistant position supporting our founder across multiple business operations. The right person will grow with us.

Responsibilities

MEDICAL RECEPTIONIST (Current Phase)

  • Open clinic and manage daily patient flow
  • Schedule and confirm appointments
  • Insurance verification and prior authorizations
  • HIPAA\-compliant patient intake and documentation
  • Answer phones and manage patient communications
  • Copay collection and billing coordination
  • Coordinate between providers and families
  • Maintain organized patient recordsmpliance with HIPAA regulations, ensuring confidentiality and proper documentation review.
  • Support clinical staff with administrative tasks such as filing, faxing, data entry, and managing electronic health information using EMR systems like eClinicalWorks or Dentrix.
  • Demonstrate excellent phone etiquette while managing appointment rescheduling, patient inquiries, and follow\-up calls efficiently.
  • Utilize computer skills in Microsoft Office Suite for documentation, correspondence, and report generation to support office functions.
  • EXECUTIVE ASSISTANT (Current and Expanding):

  • Manage founder's calendar across multiple businesses
  • Monitor email and flag urgent items
  • Follow up with vendors, attorneys, and contractors
  • Track deadlines — filings, contracts, renewals
  • Coordinate with CPA and legal team
  • Prepare documents and materials for meetings
  • Handle research and vendor communications
  • Support cross\-business administrative tasks
  • What We Are Looking For

  • Medical front office experience required
  • HIPAA knowledge and patient confidentiality
  • Proven ability to self\-manage with minimal supervision — this is non\-negotiable
  • Strong organizational and multitasking skills
  • Tech savvy — learns new systems quickly
  • Knowledge on using AI tools
  • Takes initiative and solves problems independently before escalating
  • Trustworthy with sensitive business and patient information
  • Insurance verification experience preferred
  • Bilingual English/Spanish (a strong plus)
  • Behavioral health or pediatric experience a plus
  • Calm, professional, and reliable under pressure

    Pay: $16\.00 \- $22\.00 per hour
