Yang Institute is a nationally recognized integrative medicine practice founded by Jingduan Yang, MD, FAPA — board\-certified psychiatrist, fifth\-generation classical Chinese medicine practitioner, and developer of the ACES Four\-Dimensional Medicine framework (published in J Indep Med, 2025\). The Role
We are seeking a full\-time Patient Care Coordinator to be the welcoming face and operational backbone of our Bryn Mawr, PA office. This is not a traditional front desk position. You are the patient's primary point of contact from the first inquiry through ongoing care — guiding their journey, anticipating their needs, and ensuring every interaction reflects the clinical quality of care we provide.
Schedule: Monday–Friday, full\-time, in\-office (Bryn Mawr location)
What You'll Do
Patient Experience \& Communication
- Serve as the first point of contact for prospective and existing patients via phone, email, and in person
- Conduct warm, informative initial inquiry calls — explain our services, fee structure, and what makes our approach distinct
- Greet patients on arrival, manage check\-in/check\-out, and ensure a calm, welcoming environment
- Follow up proactively with patients between visits — appointment reminders, lab result coordination, supplement orders, and care plan check\-ins
- Handle patient concerns and complaints with empathy, professionalism, and discretion
- Manage clinician calendars across multiple providers in AdvancedMD EHR
- Coordinate complex patient journeys (intake → labs → follow\-up → ongoing care)
- Schedule ancillary services (acupuncture, neurofeedback, lab draws)
- Coordinate with referring physicians and outside labs
- Collect payments, manage cash\-pay billing, and process superbills for patient insurance reimbursement
- Verify intake forms are completed before visits
- Maintain accurate patient records in AdvancedMD
- Manage supplement inventory, patient orders, and dispensary workflow
- Coordinate with the billing team on outstanding balances
- Open and close the office daily; maintain reception, exam rooms, and shared spaces
- Order office and clinical supplies as needed
- Support clinicians and clinical staff with administrative tasks
- Identify and flag operational inefficiencies; contribute to ongoing process improvement
- 2\+ years in a healthcare front office, concierge medicine, medspa, or premium service environment
- Excellent verbal and written English communication skills
- Strong computer literacy (EHR systems, scheduling software, Microsoft Office, email)
- Polished, warm, professional demeanor — comfortable interacting with high\-net\-worth and professional patients
- Highly organized, detail\-oriented, calm under pressure
- Reliable, punctual, and committed to a long\-term role
- Experience with AdvancedMD or a comparable EHR
- Background in integrative medicine, functional medicine, psychiatry, or wellness
- Experience with cash\-pay/concierge practice billing
- Genuine warmth and care for patients — not transactional
- Discretion and confidentiality (HIPAA\-trained or trainable)
- Proactive problem\-solver who anticipates rather than reacts
- Comfortable representing a premium\-tier practice with poise
- Team player who contributes to a collaborative clinical environment

Compensation \& Benefits
Salary based on experience and language skills:
* $48,000 – $54,000 for qualified English\-speaking candidates
* $54,000 – $60,000 for bilingual Mandarin/English candidates
