R\&F Insulation Group LLC is a commercial and industrial insulation company. We are seeking a detail\-oriented and organized Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and managing various clerical tasks. This position requires a proactive individual who can multitask effectively while maintaining a high level of professionalism. We are looking to hire an individual who is looking to grow in the construction industry
Duties
- Manage phone systems, including answering calls, directing inquiries, and taking messages as needed.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Perform clerical duties such as filing, data entry, and maintaining organized records.
- Provide administrative support to team members, ensuring all tasks are completed efficiently.
- Utilize QuickBooks for basic accounting tasks and financial record keeping.
- Support office management activities to maintain a productive work environment.
- Construction Documents ( AIA , Blue Print Drawings , Contracts , Spec, Review Of Addendums, Change Orders , Quotes And Estimates )
- File and Organizing (Completed Project , Company Paperwork, Company Vehicle Records )
- Strong clerical skills with attention to detail and accuracy in all tasks.
- Proficient in phone systems and communication tools.
- Bilingual abilities are a plus, enhancing communication with diverse clients and colleagues.
- Excellent proofreading skills to ensure high\-quality documentation.
- Effective calendar management skills to prioritize appointments and meetings efficiently.
- Familiarity with QuickBooks or similar accounting software is advantageous.
- Exceptional time management skills to handle multiple responsibilities effectively.
- Strong administrative skills with the ability to support various office functions.
- Experience in office management or personal assistant roles is preferred.
- High School Diploma or Higher Education
- 2 Years Degree (Preferred)
- Office Experience ( Preferred)
- Bilingual (Spanish is A Plus !!)
- 2 Year of Experience In Office Administration/ Assistant
- Must Be 18\+ years of age
- Pass a Drug Test
