#### Summary:
The Office Coordinator – Administrative Assistant supports the daily administrative and operational needs of Kopernik Global Investors. This role ensures a professional, efficient, and compliant office environment by coordinating administrative processes, assisting in office logistics, serve as back up to the Executive Assistants and serving as a key point of contact for internal and external stakeholders. The position requires strong organizational skills, discretion, and an understanding of a fast\-paced, highly regulated financial services environment. Requires knowledge of Kopernik and the departmental policies and procedures. They should thrive in a smaller, employee\-owned company environment with a high level of integrity, discretion, and reliability. Reporting directly to HR Manager.
#### Responsibilities:
#### Office Coordination \- Administration
- Responsible for answering inbound calls and emails and directing them to relevant staff, welcoming each guest and visitor warmly, making them feel appreciated, and directing them to staff and/or conference rooms.
- Assist Office Manager and Executive Assistants, ensuring the office runs efficiently, serves as the point person for maintenance, scheduling necessary repairs and purchasing office/kitchen supplies.
- Assisting in researching new vendors and suppliers as necessary.
- Maintain an orderly reception area and conference rooms in the office by straightening chairs, tables, etc. at open and close of business and after meetings.
- Assist in ordering and setting up/ removing catering deliveries for meetings and internal/external events i.e., Lunch and Learn, broker meetings, client onsite, etc.
- Maintain inventory of office supplies and maintaining break room with snacks, putting away supplies and ordering new stock as needed.
- Maintenance and alteration of office areas and equipment, as well as layout, arrangement, and housekeeping/plant caretakers of office facilities.
- Coordinate daily office operations to maintain a professional, organized, and efficient workplace
- Complete mail handling, deliveries, shipping requests and general office correspondence
- Provide administrative support to Executives, Investment team members, Legal/Compliance, and HR, as needed
- Manage calendars, schedule meetings, and assist in coordinating logistics for internal and external meetings
- Prepare meeting materials, presentations, and basic reports, as needed
- May assist in Coordinating domestic and international travel arrangements and preparing expense reports
- Office manager’s backup to building and office security, including access cards.
- Participate and support special internal projects, assisting with planning/coordinating company events, and other ad hoc Firm projects and initiatives
- Handle confidential client, financial, and firm information with professionalism and discretion
- Assist with compliancerelated documentation and recordkeeping
- Adhere to industry regulations, internal controls, and company policies
- Support internal projects, events, and firm initiatives
- Other duties, as assigned.
- Assist Human Resources with inhouse scheduling of potential employee candidates.
- Provide support for additional tasks and various projects as needed for General Counsel/HR department.
- Provide ongoing file maintenance (digital and paper) for Legal/Compliance and other departments, as needed.
- Support the printing and mailing of annual ESG letters, ensuring accuracy and timely distribution.
- BA/BS degree preferred.
- 24 years’ experience preferred.
- Proficiency in Microsoft Office (Outlook, Excel, Word \& PowerPoint), a must.
- Proactive approach, positive attitude, willingness to learn new skills, with integrity and ownership of work.
- Advanced verbal and written communication skills.
- Strong organizational and time management skills with the ability to prioritize and complete assigned work and anticipate issues and needs.
- Strong interpersonal skills.
- Selfstarter with the ability to be flexible and resolve moderately complex requests and assignments while remaining composed.
- High attention to Detail, Confidentiality and Accuracy
- Experience in an investment firm, financial services, or professional services environment, preferred but not required.
- This is not a remote position and will require relocation if not already local to the Tampa, FL area.
