Duties

  • Greet visitors and direct them appropriately, maintaining excellent phone etiquette and customer service standards
  • Manage multi\-line phone systems, answer inquiries, and route calls efficiently using professional communication skills
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
  • Assist with calendar management, scheduling appointments, and coordinating meetings using Microsoft Office and Google Workspace tools
  • Support office management tasks such as supply inventory, mail handling, and basic bookkeeping using QuickBooks or similar software
  • Provide administrative support including typing correspondence, preparing reports, and maintaining filing systems
  • Offer customer support by addressing inquiries promptly and professionally, ensuring a positive experience for clients and staff
  • Requirements

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy
  • Experience with multi\-line phone systems, phone etiquette, and customer service best practices
  • Bilingual abilities are highly preferred to effectively communicate with diverse clients and team members
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast\-paced environment
  • Experience in medical or dental receptionist roles or as a personal assistant is advantageous
  • Knowledge of bookkeeping software such as QuickBooks is a plus
  • Excellent time management skills with the ability to handle multiple responsibilities simultaneously
