Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
  • Connect with the accounting team to establish daily goals / tasks.
  • Operate multi\-line phone systems to handle incoming calls efficiently while providing excellent customer support.
  • Maintain organized filing systems, including digital records using Google Workspace and Microsoft Office tools, ensuring quick retrieval of information.
  • Perform data entry tasks accurately, including invoicing, bookkeeping using QuickBooks, and updating client or patient records.
  • Support calendar management by scheduling appointments, meetings, and coordinating personal or professional commitments for team members.
  • Assist with office management duties such as ordering supplies, managing office equipment, and overseeing general administrative tasks.
  • Proofread documents for accuracy and clarity to ensure high\-quality communication across all channels.
  • Provide clerical support including photocopying, faxing, mailing, and maintaining a tidy workspace to promote productivity.
  • Offer exceptional customer service by responding promptly to inquiries and supporting clients or patients in person or over the phone.
  • Support specialized roles such as medical or dental receptionist duties when needed, including patient check\-in and appointment confirmations.
  • Experience

  • Proven experience in an office environment with strong clerical skills and familiarity with office management procedures.
  • Prior experience using QuickBooks for bookkeeping or financial recordkeeping is highly desirable.
  • Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent organizational skills with the ability to multitask efficiently while maintaining attention to detail.
  • Strong typing skills combined with effective time management to meet deadlines consistently.
  • Previous roles as a receptionist—medical, dental, or general—are advantageous for understanding front desk operations and phone etiquette.
  • Experience supporting personal assistants or managing calendars enhances your ability to coordinate schedules seamlessly.
