Duties

  • Operate multi\-line phone systems, directing calls efficiently and courteously
  • Maintain organized filing systems, both physical and digital, ensuring quick access to important documents
  • Perform data entry tasks using Google Workspace applications with accuracy and speed
  • Assist with bookkeeping tasks using QuickBooks,and other software including invoicing and expense tracking
  • Support calendar management for executives and team members, scheduling appointments and meetings effectively
  • Handle clerical duties such as proofreading correspondence, preparing reports, and managing mail distribution
  • Provide exceptional customer support by addressing inquiries promptly and professionally
  • Coordinate office supplies inventory and place orders to ensure smooth daily operations
  • Support office management tasks to improve workflow efficiency and team collaboration
  • Skills

  • Proven experience with office management, clerical work, or administrative support roles
  • Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Exceptional phone etiquette with experience managing multi\-line phone systems and providing customer service
  • Bilingual abilities are a plus for communicating with diverse clients and team members
  • Familiarity with QuickBooks for bookkeeping tasks is highly desirable
  • Strong typing skills combined with attention to detail for proofreading and document preparation
  • Effective time management skills to handle multiple responsibilities efficiently
  • Experience as a receptionist or personal assistant is advantageous, especially in medical or dental settings
  • Knowledge of office equipment operation such as fax machines, scanners, and printers
