Summary
The Project Assistant I position is responsible for handling entry\-level administrative duties and front desk reception, along with providing basic support to technical staff with project\-related tasks.
Job Functions
Administrative \& Technical Support
- Handle front desk reception (including answering telephones and greeting guests)
- Collect and route mail and packages
- Operate office equipment (copier, printers, etc.)
- Run company errands (requires driving)
- Maintain office supplies and assist with supply orders
- Schedule maintenance and repair appointments for office building, equipment, and vehicles
- Set up new projects according to company procedures
- Draft and format project documents (proposals, estimates, etc.) using company templates
- Handle routine project correspondence (phone calls, emails, etc.), when requested
- File project related correspondence according to document control procedures
- Target to complete approximately 25% or more billable work per week
- Coordinate travel arrangements for project\-related travel (hotel bookings, etc.)
- Set up for office events and assist with event coordination
- Maintain schedule for conference rooms and set up for in\-person or virtual meetings
- Assist with scheduling project meetings and maintain calendars, when requested
- Proofread documents for spelling, grammar, and formatting
- High school diploma required; degree preferred.
- 1\+ years of administrative experience, preferably in an engineering or consulting environment.
- High school diploma
- Bachelor’s degree or equivalent experience preferred
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Ability to operate computer and office equipment (copier, scanner, telephone system, etc.)
- Functional math, grammar, and spelling skills
- Strong written and verbal communication skills
